Your Mission:

Your mission is to support the documentation, compliance, and administrative workflows that keep Inspiration’s vehicle assets road-ready and our fleet operations running smoothly. As a key member of the Fleet Operations team, you will manage critical paperwork and records, coordinate with internal and external partners, support customers, and improve processes that help keep us compliant, organized, and operationally efficient.

You will report to: Manager of Title and Registration Operations

Key Responsibilities:

  • Manage the end-to-end registration and titling document workflow, including intake, organization, scanning, storage, routing, and shipment of required paperwork
  • Coordinate with customers, internal teams, vendors, financing partners, and state agencies to collect required information, signatures, credentials, and supporting documentation
  • Maintain accurate physical and digital records across internal systems, including vehicle title, registration, renewal, mailing, shipment, and status information
  • Monitor task queues, shared inboxes, spreadsheets, and workflow tools to ensure operational activities are completed on time, escalated when needed, and visible to the right stakeholders
  • Identify and resolve documentation gaps, data discrepancies, delays, and process issues in partnership with the appropriate stakeholders
  • Serve as a responsive point of contact for fleet operations inquiries from internal teams, customers, vendors, and financing partners
  • Contribute to internal team operational activities, including metrics/KPI monitoring, process improvements, SOPs, training materials, and workflow documentation that improve accuracy, turnaround time, visibility, and scalability

Who You Are:

  • You are highly organized, detail-oriented, and comfortable managing a high volume of administrative and operational tasks
  • You have at least 1 year of experience in an administrative, operations, or coordination role - experience in fleet, automotive, leasing, logistics, title and registration, or other regulated or process-driven environments is a plus
  • You are methodical and process-minded, with a natural ability to identify workflow improvements, reduce errors, and improve operational efficiency
  • You communicate clearly and proactively, whether requesting information, providing updates, or resolving documentation issues
  • You are comfortable using tools such as Jira, Excel, SharePoint, or similar platforms to track work, manage files, sort and filter data, and reconcile information across systems
  • You exercise sound judgment when handling sensitive customer, vehicle, financial, and legal documentation
  • Our core values (see below) are part of your inherent DNA, and you have many examples of when you demonstrated these values in your career.
