POSITION SUMMARY

The Fleet Parts Specialist is responsible for managing the inventory, procurement, and distribution of parts and supplies for the city's Fleet Maintenance operations. Reporting to the fleet manager this role ensures that Fleet Technicians have the necessary parts and materials to complete repairs efficiently. Additionally, the Fleet Parts Specialist oversees the city's fuel system, ensuring compliance with regulations, monitoring fuel usage, and maintaining accurate records. This position works closely with the Fleet Coordinator to manage purchasing, vendor relationships, and inventory control.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Procurement of all parts, fluids, fuel, and tools required to repair and maintain the fleet vehicles.
  • Maintain the fuel site and ensure regulatory compliance by performing required daily, weekly, monthly, and annual inspections.
  • Maintain accurate records of parts warranty to ensure the shop receives the correct credit in the event of a defective part.
  • Maintain accurate inventory for the shop's parts room, fuel tanks, and oil room.
  • Provide parts and supplies on an as needed basis for other departments in the city.
  • Create and maintain relationships with outside vendors to ensure fair pricing.
  • Monitor technician workorders to ensure all parts are accounted for and the parts are properly assigned to a labor line on the work order.
  • Maintain MSDS and safety placards for all hazardous agents stored in the fleet shops.
  • Supervise/Dispatch the shuttle driver/courier.

Other Duties & Responsibilities

  • May perform first-level supervision of other department administrative staff, including work assignment and review, training, professional development and growth, scheduling, and performance and compensation evaluation. Verify and approve time sheets; makes recommendations regarding the selection, hiring, training, evaluation and disciplining of assigned employees.
  • Handles confidential and sensitive information with a high level of discretion and confidentiality.
  • May provide basic training and information for department staff on use of office technology and relevant software.
  • Performs other duties as assigned and required.

EDUCATION

  • High School Education or GED required

An equivalent combination of education, training and relevant job experience may be substituted.

RELATED WORK EXPERIENCE

  • Over 5 years of formal increasingly responsible administrative experience
  • Supervisory experience of administrative support positions is preferred

LICENSES, REGISTRATIONS, or CERTIFICATIONS

  • UST Class A/B certification
  • ASE P2
  • Required Driver's License: Valid Colorado driver's license and a clear or acceptable MVR.

Knowledge

  • Knowledge of the policies, procedures and goals of the City of Englewood and the department preferred.
  • Knowledge of general office practices and procedures.
  • Knowledge of math, spelling, grammar, punctuation and vocabulary.
  • Knowledge of city purchasing and procurement process and procedures.
  • Knowledge of basic accounting principles.
  • Knowledge of proper legal or administrative procedures for preparing documents specific to area of assignment.
  • Working knowledge of FASTER software preferred.

  • Skill in writing, editing, and revising materials.
  • Skill in organizing and managing multiple and competing tasks.
  • Skill in developing, organizing and maintaining complex filing systems.
  • Skill in the operation of standard office machines such as multi-line telephone, copiers, calculators, and audio/visual equipment.
