Job Description Summary

The University of South Alabama's Fleet Services department is seeking to hire a Fleet Services Coordinator. Interested candidates should apply to be considered.

Essential Functions

These are the job duties required of the position.

Essential Functions

  • Serves as a primary point of contact for Fleet Services, providing information and scheduling for University vehicle maintenance.
  • Facilitates and coordinates vehicle maintenance requests received through emails, online, phone calls, and AssetWorks.
  • Maintains constant communication with departments as vehicles are serviced by Fleet Services, maintains schedule to service vehicles and vehicle maintenance information for all University and Healthcare vehicles.
  • Works with the Facilities Accounting team to implement AssetWorks for Facilities Management use.
  • Works directly with Transportation Supervisor on the planning and updating of vehicle maintenance requests to ensure all requests are processed accurately and timely.
  • Provides supervisor with copies of requests to evaluate and dispatch, as needed.
  • Maintains Fleet Services' AssetWorks calendar and the online calendar to keep them updated on changes for all vehicle maintenance requests.
  • Coordinates all Moving Services requests utilizing TMA, AssetWorks, etc.
  • Orders office supplies, parts, equipment, and maintenance.
  • Assists with payroll preparations for contract labor employees and University employees.
  • Completes Americans with Disabilities Act (ADA) training for assisting and transporting blind students with referrals from the Center for Educational Accessibility & Disability Resources as needed.
  • Prepares and/or composes correspondence, spreadsheets, graphs, requisitions, and other documents or reports using MS Office Suites, Google software, Adobe Acrobat, Banner, Concur, and AssetWorks.
  • Assists supervisor with JagTran driver orientations and/or safety meetings to include scheduling and interviewing driver candidates for JagTran.
  • Serves in a backup capacity for the Transportation Coordinator on essential functions, as needed.
  • Serves as a backup to process procurement expenses and monthly reports through Concur, assists University drivers with Concur travel expenses and reports, and requests and reconciles travel advances for contract drivers with temp agencies.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and overtime as required.
  • Related duties as required.
