Overview:

The Foundation Associate is responsible for maintaining administrative tasks and operational aspects of the Covenant HealthCare Foundation while being part of a team focused on making a positive impact. Duties include gift processing and receipting, donor record maintenance, financial reporting (including month-end and bank deposits), payment processing, database reporting, and a wide away of programmatic and customer service support. This position is integral to the Foundation mission and will work within and contribute to a collaborative and upbeat team environment. Additional responsibilities may include participating in special events, campaigns, and marketing efforts to further the mission.

Responsibilities:

 

  • Maintain various administrative and operational aspects of the Foundation.
  • Responsible for charitable gift processing, prompt receipting, and professional acknowledgments.
  • Ensure financial accuracy, preparing month-end reports and bank deposits.
  • Maintain accurate records in donor databases, generate reports, and ensure data integrity.
  • Enter and track Foundation expenses and project budgets, providing reports as required.
  • Support, monitor, document and communicate the Foundation project request process under the direction of departmental leadership.
  • Monitor organizational retirements and departures to reconcile with payroll deductions.
  • Address and resolve questions with customers regarding charges.
  • Work with volunteers as requested for direct mailings, newsletters, activities, scholarship review, and special events.
  • Build effective working relationships with colleagues within Covenant HealthCare.
  • Maintain appropriate historical receipts and records.
  • Support the creation, maintenance, and documentation of fund records, history, and gift agreements.
  • Administrative tasks may include answering phones, email correspondence, ordering office supplies, processing vendor payments, and booking orders for Reach Out and Read.
  • Operational tasks may include minor website updates, raffle license support, event support and RSVPs, Board of Director support, and creation of forms (electronic, online, etc.).
  • Work directly with department staff, members of the community, vendors, administration, directors, managers, physicians and staff to further the organization's mission.
  • Protect donor privacy and adhere to HIPAA laws and requirements.
  • Arrange and oversee details related to assigned Covenant special events and meetings, ensuring Covenant is well-represented.
  • Provide ongoing support of other Foundation initiatives as directed.
Qualifications:

EDUCATION/EXPERIENCE

 

  • Bachelor’s degree in a related field, or an equivalent combination of completed education and experience.
  • Minimum of two years’ experience in administrative and professional processes, practices, and methods required.
  • Previous work experience in non-profit administration, finance, community relations, or customer service preferred.
  • Previous experience with donor software (Blackbaud/Raiser’s Edge, or comparable donor or sales database) preferred.

 

KNOWLEDGE/SKILLS/ABILITIES

 

  •  Ability to learn quickly.
  • Strong organizational, communication, and data management skills.
  • Excellent at creating and maintaining processes.
  • Strong efficiency in Microsoft Office (Word, Excel, Outlook, Teams, et al).
  • B basic understanding of financial concepts, budgeting, and data systems.
  • Understanding of databases.
  • Ability to work under minimal supervision and make independent decisions.
  • Ability to perform or learn how to perform basic mail merges.
  • Excellent interpersonal verbal communication skills and strong written communication skills.
  • Ability to exercise sound judgement with sensitive information.
  • Ability to manage projects with strong attention to detail and deadlines.
  • Ability to handle multiple projects/tasks at one time.
  • Knowledge consistent with the ADA, FMLA, and other federal, state, and local standards.
