Our client, a data and analytics consulting firm, is seeking a Fractional Executive Assistant for a direct hire role. This position is remote and aligned to the Eastern time zone, with a preference for a candidate in the Atlanta area for occasional in-person coordination. This is a part-time role with an anticipated 10-20 hours/week.
This is a focused executive-assistant role, not a combined operations leader, chief of staff, or companywide project manager. The Executive Assistant is a trusted extension of the CEO: managing the flow of communication, protecting time, maintaining an integrated view of business and personal commitments, and representing the Office of the CEO with sound judgment.
The person will have delegated authority to communicate with anyone engaging with the CEO and to manage the calendar within agreed priorities and boundaries. When the CEO delegates a responsibility, the Executive Assistant owns the administrative follow-through until the commitment is completed or appropriately escalated.
CORE RESPONSIBILITIES- Email triage and communication authority. Monitor and organize the CEOs inbox; distinguish noise, information, decisions, and urgent matters; draft and send communication on the CEOs behalf; preserve the CEOs voice; and escalate matters requiring personal judgment.
- Calendar stewardship and time protection. Accept, decline, negotiate, and reschedule meetings using agreed priorities. Protect space for consequential CEO work rather than allowing urgency and availability to dictate the calendar.
- Office of the CEO representation. Serve as a warm, direct, responsive, and credible first point of contact. Set expectations clearly, maintain discretion, and ensure communication reflects the standards of the company.
- Integrated business and personal scheduling. Maintain awareness of the CEOs business and personal calendars and coordinate appropriately with his wife to prevent conflicts, especially for evenings and events outside business hours.
- Closed-loop delegation. Track responsibilities specifically delegated by the CEO, coordinate with the right owners, surface risks early, and remain accountable for confirming completion.
- Operations and Hospitality partnership. Work collaboratively with the Operations Team and the Hospitality Team. Hospitality owns events, gifts, travel, and in-person meetings; the Executive Assistant connects CEO needs to those teams and closes communication loops without absorbing their functional ownership.
- Meeting awareness and selective follow-through. Maintain a current understanding of whom the CEO is meeting withand when. Meeting preparation is not a standing responsibility, although specific follow-up actions may be delegated after a meeting.
HOW SUCCESS IS DEFINED- The CEOs inbox is consistently triaged, important communication is answered promptly, and matters requiring his judgment are easy to identify.
- The calendar reflects strategic priorities, protects focus, and avoids preventable personal or business conflicts.
- People interacting with the Office of the CEO experience responsiveness, clarity, care, and dependable follow-through.
- Delegated commitments have a clear owner, expected timing, visible status, and verified completion.
- Operations and Hospitality receive timely context and coordination without unclear ownership or duplicated work.
- The CEO spends less time managing administrative flow and more time on decisions, relationships, revenue, leadership clarity, and work that unblocks others.
REQUIRED CAPABILITIES- Executive judgment: Reads context, recognizes stakes, knows when to act, and knows when to escalate.
- Exceptional written communication: Communicates warmly, directly, and concisely while adapting appropriately across clients, partners, team members, and personal contacts.
- Digital fluency: Works confidently in a remote-first environment where coordination, communication, and records live on digital platforms.
- AI readiness: Is comfortable using and learning AI-enabled platforms, embraces responsible automation, and sees technology as leverage rather than a threat.
- Calendar and inbox mastery: Brings proven systems for prioritization, scheduling, delegation, follow-up, and information hygiene.
- Discretion: Handles sensitive business and personal information with excellent boundaries and mature judgment.
- Relationship coordination: Builds trust across functions and can collaborate without creating confusion about ownership.
- Adaptability: Learns quickly, absorbs changing context, and stays effective when priorities shift.
WORKING STYLE
This role will suit someone who can live in the tension between speed and care. The organization moves quickly, and the Executive Assistant must keep pace without becoming abrupt, careless, or transactional. The right person is calm under pressure, highly responsive, naturally attentive to others, willing to make decisions, and committed to finishing what was started.
BACKGROUND- Prior executive-assistant, executive-business-partner, consulting, professional-services, or similarly high-contextexperience is strongly valued.
- Experience supporting a founder, CEO, or senior executive in a fast-moving environment is preferred.
- Experience in a remote-first, technology-enabled organization is strongly preferred.
- A career break is not a concern. Evidence of judgment, capability, current digital fluency, and intentional interest in fractional work matters more than a perfectly linear résumé
.
EXPLICITLY OUT OF SCOPE- Leading company operations or serving as the de facto Chief of Staff.
- Owning organizational project management merely because a commitment involves the CEO.
- Standing responsibility for meeting preparation or post-meeting action management unless specifically delegated.
- Selecting the CEOs routine travel logistics; the CEO generally chooses his own travel arrangements.
- Taking ownership of events, gifts, travel, or in-person meeting execution that belongs to the Hospitality Team
