    Front Desk Administrative Assistant (Part-Time)

    Caretech is looking for a friendly, organized, and dependable Front Desk Office Assistant to join our Omaha team. This role is perfect for someone who enjoys helping others, keeping an office running smoothly, and providing outstanding customer service.

    As the first point of contact for visitors, caregivers, clients, and community partners, you’ll play an important role in creating a welcoming and professional experience while supporting our leadership team and daily office operations.

    This is a part-time position with the opportunity to grow into a full-time role based on business needs and performance.

    Position Summary

    The Front Desk Office Assistant is responsible for managing the front office, answering and directing incoming phone calls, providing administrative support, coordinating office operations, and assisting the Chief Operating Officer with a variety of organizational and administrative tasks.

    Primary Responsibilities

    Front Desk & Customer Service

    ·         Greet visitors and provide a welcoming, professional first impression.

    ·         Answer incoming phone calls promptly and direct them to the appropriate team member.

    ·         Respond to general office inquiries from caregivers, clients, applicants, and community partners.

    ·         Maintain a clean, organized, and professional reception area.

    Administrative Support

    ·         Process incoming and outgoing mail and deliveries.

    ·         Prepare letters, packets, labels, and other office documents.

    ·         Scan, file, and organize electronic and paper documents.

    ·         Assist with data entry and other administrative projects.

    ·         Maintain office calendars and meeting schedules as requested.

    Office Operations

    ·         Order office supplies and maintain inventory.

    ·         Coordinate food orders for meetings, orientations, and company events.

    ·         Assist with conference room setup and meeting preparation.

    ·         Coordinate travel arrangements, hotel reservations, and itineraries for leadership as needed.

    ·         Help ensure the office remains organized, stocked, and operating efficiently.

    Executive Support

    ·         Provide direct administrative assistance to the Chief Operating Officer.

    ·         Assist with scheduling meetings and managing calendars.

    ·         Prepare documents, reports, and presentation materials.

    ·         Support special projects and company initiatives.

    ·         Maintain confidentiality while handling sensitive information.

    Qualifications

    ·         High school diploma or equivalent required.

    ·         Previous receptionist, administrative assistant, or office support experience preferred.

    ·         Excellent customer service and communication skills.

    ·         Strong organizational skills with great attention to detail.

    ·         Ability to manage multiple priorities in a fast-paced environment.

    ·         Proficiency with Microsoft Office (Outlook, Word, Excel) and general computer applications.

    ·         Professional appearance and positive attitude.

    ·         Ability to maintain confidentiality and exercise sound judgment.
