Position Summary
RBC is seeking an experienced Front Desk Administrative Support Specialist (Data Entry) to serve as the first point of contact for the Military & Family Readiness Center (M&FRC) at Hanscom Air Force Base, Massachusetts. This is a single, full-time, on-site position blending front-desk reception, customer service, class and workshop scheduling, database data entry, and monthly reporting in support of Air Force service members, families, and transitioning personnel.
The right candidate is professional, dependable, detail-driven, and genuinely enjoys helping people. You will be the face and voice of the M&FRC — the person who welcomes every visitor, answers every call, and makes sure the data behind the programs is accurate and current.
Key Responsibilities
• Greet all visitors to the M&FRC Reception Center, determine the nature of each visit, and direct clients to the appropriate program manager or staff member.
• Answer all incoming telephone calls, respond to routine and procedural inquiries with complete and clear information, and relay messages accurately.
• Schedule clients for M&FRC classes, workshops, and appointments, and proactively raise awareness of available programs and services.
• Enter and maintain data in the Air Force Family Integrated Result Statistical Tracking (AFFIRST) database and Department of Defense Transition Assistance Program (TAP) web applications.
• Send class and workshop reminder communications to clients approximately one week prior to start dates, or on the timeline directed by program managers.
• Ensure all clients complete the sign-in process and generate a monthly client usage report in the format established by M&FRC management.
• Maintain a professional, orderly reception area — aligning seating, restocking materials, publications, and resources, and reporting inoperable equipment to management.
• Perform general clerical and administrative support duties as assigned in support of center operations.
• Safeguard all Government-furnished property, equipment, and information, and handle personally identifiable information in accordance with the Privacy Act (5 U.S.C. § 552a).
Performance Expectations
• Answer 100% of incoming calls and greet 100% of visitors entering the M&FRC.
• Complete data entry tasks at a minimum of 85% accuracy within two (2) business days.
• Deliver the monthly data entry / client usage report no later than the fifth (5th) working day of each month.
• Maintain professional business-casual appearance and conduct at all times while on site.
Required Qualifications
• High school diploma or GED.
• Minimum of one (1) year of customer-facing experience in a front desk, reception, customer service, administrative support, or data entry role.
• Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Windows, plus web-based applications (Microsoft Edge / Chrome).
• Proven data entry accuracy and comfort working in electronic record and scheduling systems.
• Strong verbal and written communication skills and a professional, service-oriented demeanor.
• Ability to work independently, exercise sound judgment, and plan and complete tasks on time with limited supervision.
• U.S. work authorization; ability to pass a favorable background check and fingerprinting required for a Common Access Card (CAC) and Hanscom AFB installation and network access.
• REAL ID–compliant driver's license, or an acceptable secondary form of identification, for base access under the REAL ID Act of 2005.
• Ability to pass a DoD Information Assurance examination for local area network access and complete required Privacy Act and antiterrorism awareness training.
• Willingness to provide a current resume and at least three (3) professional references (no personal references) as a condition of placement.
Preferred Qualifications
• Two to three (2–3) years of front desk or administrative support experience in a military, federal, healthcare, education, or social services environment.
• Working knowledge of military protocol, base support organizations, and family support programs.
• Prior experience with structured client-record, case-tracking, or scheduling databases.
• Military spouse, veteran, or prior military-affiliated experience is highly valued.
• Demonstrated success working with diverse populations in a high-visibility customer service setting.
Schedule & Work Environment
• Full-time, 40 hours per week, Monday through Friday.
• Core hours 0800–1600, with a start time no earlier than 0730 and no later than 0800.
• Thirty (30) minute lunch break taken between 1100 and 1300.
• No work required on the eleven (11) Federal holidays.
• On-site position at Hanscom AFB, MA. Situational telework may be authorized only if directed by national health directives or base regulations.
Compensation & Benefits
• Hourly rate range: $24.00 – $29.00 per hour, commensurate with experience and set in accordance with the applicable Service Contract Act classification under Wage Determination 2015-4047, Rev. 33.
• Position is covered by the McNamara-O'Hara Service Contract Act, including required health & welfare fringe benefits.
• Paid Federal holidays and paid time off consistent with SCA requirements and RBC policy.
• Government-furnished workspace, computer, equipment, and mission-specific systems training provided at no cost to the employee.
• Multi-year opportunity: base period plus four (4) option years, subject to Government exercise of options and funding availability.
