Position Overview:
The Front Desk Administrator will be responsible for greeting clients, managing incoming calls, and performing various administrative tasks. You will play a key role in ensuring the smooth operation of our office and providing excellent customer service to both clients and staff.

Key Responsibilities:

  • Welcome and greet clients, visitors, and vendors, ensuring a positive experience
  • Answer and direct phone calls, take messages, and handle general inquiries from the info email
  • Manage the front desk area, ensuring it is neat, organized, and stocked with necessary supplies
  • Assist with scheduling meetings, managing calendars, and coordinating conference room bookings
  • Maintain office security by following safety procedures
  • Receive and deliver daily mail and packages
  • Coordinate & mail packages via USPS, UPS and courier services
  • Assist with administrative tasks such as data entry and provide occasional backup to facilities
  • Help coordinate office events and team activities
  • Schedule and coordinate CEU Lunch & Learn presentations for the firm
  • Ordering food for inhouse meetings
  • Keep the Front Desk Manual up to date

The hourly wage range for this position is $22 to $25 per hour depending on experience.

Requirements

Qualifications:

• High school diploma or equivalent required; an Associate’s or Bachelor’s degree is a plus

• Previous experience in a front desk, receptionist, or administrative role is preferred

• Strong communication and interpersonal skills

• Ability to handle multiple tasks and prioritize in a fast-paced environment

• Proficient in Microsoft Office Suite (Word, Excel, Outlook)

• Experience working in an architecture, design, or construction firm is a plus, but not required

• Professional appearance and demeanor

• Strong organizational skills and attention to detail
