Description

The Front Office Administrator is the first point of contact for the company when visitors and staff come into the building’s reception area or call in. This role will manage the flow of people through the company and ensure that all front office administrative responsibilities are completed accurately, with high quality, on time, and professionally. This position will also assist with the planning of employee-related special events and luncheons.

Duties and Responsibilities

  • Greet persons entering the front lobby.
  • Direct persons to the correct destination.
  • Deal with queries from the public and customers.
  • Ensures knowledge of staff movements in and out of the organization.
  • For employee-related special events such as birthdays, showers, etc. this role is responsible for logistics including room setup, handling reservations, decorations, entertainment, ordering food, and communicating special announcements.
  • Handle the ordering of congratulatory, get well, or sympathy flowers as requested by management.
  • Notify staff of any vendor-hosted luncheons and assist with set-up.
  • Receive and sort mail and deliveries.
  • Order office supplies and maintain the office supply closet.
  • Tidy and maintain the reception area.
  • Provide Customer Service by:
    • Answering phone calls, screen, and direct calls.
    • Take and relay messages.
    • Provide information to callers.

Knowledge, Skills, and Abilities

  • Must be reliable and have transportation.
  • Must have excellent verbal and written communication skills.
  • Must have a professional front office presentation.
  • Must have experience in answering a high volume of incoming calls.
  • Must have experience in using a multi-line phone system.
  • Excellent customer service orientation.
  • Must be able to pay attention to detail.

Education and Qualifications

  • High School Diploma.
  • Prior Front Desk Experience.
  • Knowledge of customer service principles and practices.
  • Keyboard skills.
