FULL TIME, NON-EXEMPT POSITION

Position Summary:

Blake's Lotaburger Receptionist's main role is to be present at the front desk during business hours to warmly greet visitors and topolitely and professionally answer the company's telephone, take messages and/or direct callers. The Receptionist will receive mail and sign deliveries as well as ensure that those items are delivered to addresses in a timely manner. The Receptionist will work on special projects as they are assigned and so long as they do not interfere with the primary duties as described above (check with the immediate supervisor before accepting special projects). This position reports directly to the Financial Controller.

Essential Functions:

  • Must always be present at the front desk during business hours apart from break times. During breaks, it is the Receptionist's responsibility to ensure that the front desk is covered for the duration of the break.
  • Business hours are as follows: Monday - Thursday 8:00 a.m.- 5:00 p.m.; and Friday 8:00 a.m.- 3:00 p.m.
  • In many situations, the Receptionist is functioning as the "face" of the company. Visitors should feel welcome, be treated with kindness and humility, and have their needs addressed in a timely manner according to the attached organizational chart. Should the Receptionist encounter a hostile or abusive visitor, the Receptionist should contact the legal department immediately for information on how to proceed. Under no circumstances should the Receptionist engage in an argument with a visitor.
  • Just as with greeting visitors, in many situations the Receptionist's voice functions as the "voice" of the company. Callers should be treated with kindness and humility and have their needs addressed in a timely manner according to the attached organizational chart. Should the Receptionist encounter a hostile and abusive caller, the Receptionist should tell the caller that the call is being transferred to the Legal Department and transfer the call to extension 5005. Under no circumstances should the Receptionist engage in an argument with a caller.
  • Must be able to keep an organized log of calls and visitors including the date/time of the call/visit, the name and contact information for the caller/visitor, and a brief description of the subject matter.
  • The Receptionist may receive complaints from members of the public. The Receptionist is not responsible for addressing complaints and should transfer the call to the Human Resources Department for handling.
  • Meet delivery persons at the front desk to receive deliveries and ensure that those items are delivered to addresses in a timely manner.
  • Interacting with other Blake's Lotaburger employees who visit the office. The Receptionist should warmly greet the employees and provide friendly and courteous assistance to the employees as needed. Under no circumstances should the Receptionist engage in an argument with another employee. If another employee becomes argumentative, the receptionist is to immediately refer them to the Human Resources Department.
  • Communicate telephone messages via the company's email system. Emails shall be communicated politely, clearly, accurately, and without editorial. The Receptionist shall seek approval from a supervisor before sending an email with more than (10) recipients.
  • Communicate emergency maintenance requests to the Facilities Department in a polite and courteous manner.
  • From time to time, the receptionist may be tasked with special projects by the various Corporate Departments. Before any special project is accepted he or she must get approval from his or her supervisor. The completion of the projects should not interfere with the receptionist's performance of their primary duties. If the project interferes with primary duties, the receptionist is to immediately notify the project supervisor that the project must be delegated elsewhere.
  • Personal phone calls and/or visitors should be kept to a minimum to avoid distraction from primary duties.
Qualifications/Requirements (Education/Training/Experience/Abilities):
  • Lift up to 25 pounds unassisted.
  • Ability to sit for extended periods of time. Ability to transition from sitting to standing numerous times daily.
  • Experience in a customer service position or comparable education. An ideal candidate will have two or more years of experience working at a busy reception desk, two or more years of experience in a customer service position, or an associate degree in a related field.
  • Must have basic computer skills including creating/reviewing/sending electronic mail and word processing. Ideally, the candidate will have experience with Excel and basic accounting skills.
  • Ability to bend, stoop, climb, and reach.
  • Must be able to pass a background check.
