Position Summary
The Front Desk Associate serves as the first point of contact for patients and families, providing courteous, efficient, and accurate front-end administrative support. This role is responsible for appointment scheduling, inbound and outbound calls, patient check-in and check-out, insurance verification, and general inquiries. The associate plays a key role in ensuring a positive patient experience, maintaining clinic flow, and supporting providers and clinical staff through effective communication and organizational skills.
Key Responsibilities
Front Desk Associate
· Maintain a professional atmosphere at the front desk and throughout the office.
· Scheduling New patient appointment requests on our website- obtain correct patient demographics and insurance information while scheduling with appropriate provider.
· Make calls to schedule/ reschedule appointments when necessary.
· Scanning documents needed into our EMR system.
· Distributing faxes to the appropriate individual and documenting in the patient’s charts.
· Handling of any Medical records requests while remaining complaint with HIPAA.
· Handling any Fax/email requests from parents and/or provider offices.
· Willing to cover the Call Center when staff is out.
· Performs other duties as assigned
Additional Notes
· Monday through Friday position
· Evening or weekend hours may be required depending on practice needs.
· Knowledge of medical terminology and workflows preferred
· Knowledge of Electronic Medical Records preferred
· Bilingual in Spanish preferred
Qualifications
· High school diploma or equivalent
· Experience healthcare and private practice settings preferred.
· Proficient computer skills ( i.e. Microsoft Office & Outlook).
· Work quickly and multi-task.
Work Environment & Physical Requirements
- Standard office environment within a medical practice.
- Frequent use of computers and telephones.
- Occasional lifting of files, office supplies, or equipment (up to 20 lbs).
