Position Purpose:

The Front Desk Clerk ensures a well-organized office that adheres to agency policies and procedures. This role involves caring for clients and visitors, facilitating interactions with family members at the center, and supporting clinical staff by optimizing clerical duties.

Qualifications/Skills:

  • High School Diploma or equivalent
  • Excellent customer service skills with a strong customer-focused approach
  • Experience with phone systems and/or switchboards
  • Basic understanding of behavioral health treatment
  • Strong organizational skills and ability to multitask
  • Excellent written and oral communication skills
  • Capability to work independently as well as collaboratively within a team
  • Proficient in using common computer applications such as word processing, spreadsheet, and presentation software

Essential Responsibilities:

  1. Work hours prescribed and any additional hours deemed necessary for the responsibilities assigned.
  2. Greet clients and visitors, handling payment collection and processing.
  3. Complete necessary paperwork for clients in the Electronic Health Record (EHR).
  4. Maintain scheduling logs including referral and intake schedules.
  5. Answer incoming calls, direct them appropriately, and make reminder and prescription calls.
  6. Manage the internal and external distribution of mail.
  7. Distribute Representative Payee checks.
  8. Conduct financial interviews with clients, updating and registering information in the database.
  9. Review clinical data and communicate discrepancies with supervisors.
  10. Maintain logs for visitors, prescriptions, and intakes.
  11. Review logs for doctor’s appointments.
  12. Close the office according to clinical protocol.
  13. Perform secure handling of cardholder data, including encryption, data storage limitations, and adherence to security protocols.
  14. Participate in mandatory PCI training, access controls, and regular security assessments, all aligned with PCI Data Security Standard guidelines.
  15. Provide assistance to the office support team as needed.
  16. Serve as a member of the team, and participate in all team meetings, duties and activities as assigned.
  17. Understand and comply with all of the principles established by the Rosecrance Corporate Compliance Program and Code of Conduct.
  18. Perform all responsibilities in compliance with the mission, vision, values and expectations of Rosecrance.
  19. Deliver exceptional customer service consistently to every customer.
  20. Serve as a role model for other staff, clients and customers and demonstrate positive guest relations in representing Rosecrance.
  21. Assume other related responsibilities as assigned by leadership.

    Compensation & Rewards:

    • Starting salary - $18.00/hour

    Schedule: Monday-Thursday - 1pm-6pm

    Physical Requirements/Percentage of Work Time

    1. Vision: Must be able to read printed and/or handwritten materials from a variety of sources 75-100%

    2. Hearing: Must be able to hear well enough to communicate with coworkers 50-79%; answer incoming phone calls 0-24%; transcribe from dictation equipment 0-24%

    3. Standing/Walking/Mobility: Must have mobility between departments within the facility 25-49%

    4. Climbing/Stooping/Kneeling: 0-24%

    5. Lifting/Pulling/Pushing: Must exert up to 20 pounds of force occasionally and/or up to 5 pounds of force frequently to lift or move objects 25-49%

    6. Fingering/Grasping/Feeling: Must be able to finger keyboard for computer work and phone equipment for placing/receiving calls 50-74%

    7. Sitting: must be able to sit for prolonged periods of time when using the computer 50-74%
