The Front Desk Coordinator serves as the first point of contact for students, families, staff, and visitors, helping create a welcoming, organized, and professional school environment. This position manages front office operations, supports daily school communication and attendance procedures, coordinates substitute coverage, and provides administrative support to the Assistant Head of School.

Essential Responsibilities
Front Desk & Communication
- Serve as the primary receptionist for the school office
- Answer and direct incoming phone calls in a professional and courteous manner
- Greet students, families, staff, and visitors warmly and assist with inquiries
- Maintain a calm, organized, and welcoming front office environment
- Respond to general emails and office communication in a timely manner
Administrative Support
- Provide administrative support to the Assistant Head of School
- Assist with scheduling, correspondence, filing, copying, and other office tasks
- Support school-wide communication and organization of documents and records
- Help coordinate day-to-day operational needs of the school office
- Collaborate with the Administrative Team
Substitute Coordinator
- Manage substitute teacher coverage for staff absences
- Contact and schedule substitutes as needed
- Maintain substitute lists, schedules, and related records
- Communicate substitute assignments and expectations to staff
Attendance Management
- Monitor and maintain accurate daily student attendance records
- Communicate with families regarding absences and attendance concerns
- Ensure attendance documentation is collected and entered appropriately
- Generate attendance reports as requested
Visitor Management
- Manage visitor sign-in and sign-out procedures
- Ensure all visitors follow school safety and security protocols
- Issue visitor badges and maintain visitor logs
- Support building security by monitoring front entrance activity
Qualifications
- High school diploma required; associate's or bachelor's degree preferred
- Previous office, receptionist, or school administrative experience preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Proficiency with Google Workspace, email, and basic office software
- Ability to maintain confidentiality and professionalism
- Strong interpersonal skills and ability to work collaboratively with staff and families

Work Schedule
Full-time, school-year position with hours determined by school leadership. Additional hours may occasionally be required for school events or operational needs.
