At RWJBarnabas Health, a positive patient experience begins from the moment a patient connects with our team. We are seeking an organized, customer-focused Front Desk Coordinator to support our Rehabilitation Department at the New Brunswick campus.
As an important member of the outpatient rehabilitation team, you'll help patients navigate their care by coordinating registration, scheduling, insurance verification, and other front-office activities. A Typical Day
As a Front Desk Coordinator, you'll serve as a key point of contact for patients while helping ensure the day-to-day operations of our outpatient rehabilitation services run smoothly. Your responsibilities may include:
- Welcoming patients and providing professional, courteous service throughout their visit.
- Completing patient registration and ensuring demographic and insurance information is accurate and up to date.
- Scheduling patient appointments and coordinating changes or follow-up visits as needed.
- Verifying insurance coverage and obtaining or confirming required authorizations for outpatient rehabilitation services.
- Answering telephone calls, responding to patient inquiries, and directing information to the appropriate team members.
- Utilizing electronic medical records, scheduling, and insurance verification systems to maintain accurate patient information.
- Managing email communication, documentation, filing, and other front-office responsibilities.
- Collaborating with clinical and administrative team members to support efficient patient flow and program operations.
- Communicating with patients, providers, insurance representatives, and other departments to resolve scheduling or registration concerns.
- Maintaining professionalism, accuracy, and exceptional customer service in a fast-paced environment.

To Be Considered
Qualified candidates will possess:
- Previous administrative or office experience within a healthcare setting required
- Strong customer service and interpersonal skills
- Excellent verbal and written communication skills
- Experience with patient registration, appointment scheduling, insurance verification, and/or authorization processes preferred
- Proficiency with electronic medical records, medical scheduling systems, and insurance verification systems
- Strong knowledge of Microsoft Office Suite, including Outlook
- Excellent organizational skills with the ability to work effectively in a fast-paced environment
- Strong teamwork, communication, and flexibility to support interdisciplinary program operations
- Bilingual Spanish strongly preferred
Schedule:
Working Shift: Monday-Friday
Day Shift:
Monday, Tuesday & Thursday: 10:30AM-7:00PM
Wednesday & Friday: 9:00AM-5:30PM
Evening Hours May Be Required
Full-Time, 40 hours per week.
