Job Summary
A manufacturing-based organization is seeking a dependable and professional Front Desk / HR Assistant to serve as the first point of contact at its Claremore facility while supporting daily human resources and administrative functions. This role is ideal for a detail-oriented individual who enjoys interacting with people, staying organized, and supporting HR operations in a fast-paced, hands-on environment.
Key Responsibilities Front Desk & Administrative Duties
Greet employees, visitors, vendors, and applicants in a friendly and professional manner
Answer and route incoming phone calls; respond to general inquiries
Manage front desk coverage, mail distribution, and facility sign-in procedures
Maintain office supplies and coordinate orders as needed
Perform general clerical duties including filing, scanning, copying, and data entry
Human Resources Support
Assist with onboarding and offboarding processes (new hire paperwork, orientations, badge access, etc.)
Maintain accurate and confidential employee records (paper and electronic)
Support recruitment efforts by scheduling interviews and communicating with candidates
Assist with timekeeping, attendance tracking, and employee documentation
Help coordinate training sessions, safety meetings, and internal communications
Respond to basic employee questions and escalate issues to HR leadership when appropriate
Compliance & Confidentiality
Handle sensitive employee information with a high level of professionalism and discretion
Support HR compliance efforts related to company policies and employment regulations
Follow all company safety policies and procedures applicable to a manufacturing facility
Qualifications Required Qualifications
High school diploma or equivalent
1+ year of experience in an administrative, front desk, or HR support role preferred
Strong verbal and written communication skills
Proficiency with Microsoft Office (Word, Excel, Outlook)
Ability to multitask, prioritize, and remain organized in a fast-paced environment
Professional demeanor with a strong customer-service mindset
Preferred Qualifications
Previous experience in a manufacturing or industrial environment
Basic knowledge of HR processes, hiring practices, or payroll/timekeeping systems
Familiarity with HRIS systems or applicant tracking systems (ATS)
