POSITION OVERVIEW
The Front Desk Office Assistant (FDOA) is the first point of contact for the Foundation and plays a critical role in ensuring smooth daily office operations. This position requires professionalism, reliability, strong communication skills, and the ability to manage multiple administrative tasks with accuracy and calm under pressure. The FDOA will support two to three staff members and collaborate closely with the Operations & HR Manager.
The ideal candidate is friendly, organized, proactive, and able to work independently in a small, fastpaced team environment.
ESSENTIAL DUTIES
Administrative Support
- Pick up, sort, datestamp, scan, and distribute mail.
- Prepare correspondence, including confidential documents.
- Assist with expense reconciliation and basic reporting.
- Maintain office files, records, and archival systems.
Front Desk & Communication
- Greet visitors and manage front desk coverage.
- Screen and route phone calls; check voicemail and office email daily.
- Respond to routine inquiries and distribute messages promptly.
Office Management
- Maintain office inventory and supplies.
- Coordinate courier, FedEx, UPS, and messenger services.
- Manage printing, binding, scanning, and faxing needs.
- Serve as liaison with IT vendors, property management, and service providers.
Meeting & Event Support
- Coordinate and schedule staff, management, and board meetings.
- Prepare agendas, take notes, and compile meeting materials.
- Assist with planning office events, staff gatherings, and travel arrangements.
Maintain calendars, vendor records, meeting logs, inventory, and project timelines.
Operations and HR Support
- Perform basic Salesforce data entry and run standard reports.
- Assist with onboarding and training on office procedures, SOPs, and systems.
- Support basic HR administrative tasks as assigned.

- Proficient in Microsoft Office Suite; experience with SharePoint and Salesforce is a plus.
- Familiarity with Asana, Yealink phone systems, Zoom, and Microsoft Teams.
- Knowledge of NYC resources (restaurants, vendors, event spaces) is helpful.
Education and Experience Requirements
- A degree from an accredited college or certification in office administration is a plus.
- A minimum of three solid years’ work experience in an administrative or office assistant role at nonprofit office, preferably for Alzheimer’s or other neurodegenerative diseases.
Technical Skills
- SharePoint experience is preferred with the ability to become skilled in Salesforce is a major plus.
- Strong knowledge of Asana and Microsoft Office Suite: Word, Excel, Outlook, PowerPoint Internet.
- Experience with phone systems such as Yealink and Video conference software Zoom and Microsoft Teams.
Working Conditions
Enjoy a beautiful, collaborative office in a friendly environment. Work 40 hours a week starting at 8:00 or 8:30am, Monday–Friday, plus a onehour lunch. Businesssmart dress is required, with occasional business attire for executive meetings and special events.
