About the Role
\n
\n
The Front Desk & Office Coordinator is the first face of Leon Capital Group and the operational anchor of our Dallas headquarters. This is not a passive reception seat. It is an ownership role for someone who takes pride in a flawless guest experience, anticipates needs before they surface, and keeps a busy executive office running smoothly behind the scenes.

You will report to the executive team, Leon Capital Group's Executive Assistant & Operations Manager and Executive Assistant & Communications Manager, who direct your work, handle escalations, and lead the interview and onboarding process. You will take full ownership of the front desk, guest experience, conference rooms, mail operations, and day-to-day office upkeep.

What You Will Own
\n
\n
Guest Experience & Front Desk:
\n
\n
- \n
- Greet and host all guests with warmth and polish, maintaining a consistent, professional presence at the front desk throughout the day.
- \n
- Confirm all in-person meetings ahead of time so guests are expected and the team is prepared.
- \n
- Manage the front desk email inbox, responding to and routing inquiries promptly.
- \n
- Proactively communicate room assignments to guests and internal team members.
- \n
- Receive and escort vendors and service providers, knowing the purpose of each visit and getting them where they need to be (scheduling, payment, and building management coordination remain with the executive team).
- \n

Conference Rooms & Meetings:
\n
\n
- \n
- Own the conference room calendar across all five rooms, preventing conflicts, overlaps, and back-to-back scheduling issues.
- \n
- Prepare conference rooms and hotel offices before every meeting: seating, lighting, technology check, beverages, and catering.
- \n
- Check hotel offices every morning: confirm upcoming traveler reservations, have the office ready at the start of the day, block it on the calendar, and flip the physical door tag between Reserved and Empty.
- \n
- Print and assemble meeting documents and decks for important meetings, leaving them ready in the conference room ahead of time.
- \n
- Reset and clean all conference rooms after every meeting.
- \n
- Support company-wide meetings: set up conference calls with screen share and video, pull up presentation documents, coordinate lunch orders, and close everything out afterward.
- \n

\n
Mail & Office Operations:
\n
\n
- \n
- Sort, route, and distribute daily mail across 12+ entities using the internal routing guide, and drop off outgoing mail.
- \n
- Handle outgoing shipments on behalf of the admin team (FedEx, executive gifts, documents); this role supports admin team mailings only, not company-wide shipping.
- \n
- Receive, sort, and distribute packages and deliveries (FedEx, UPS, USPS, Amazon), including putting away grocery deliveries.
- \n
- Manage the office's ticketing system, triaging and resolving requests within the 48-hour response standard.
- \n
- Submit and track maintenance work orders through the building management platform, following through to resolution.
- \n
- Break down boxes and manage deliveries to keep common areas clean and clear.
- \n

\n
Supplies & Upkeep:
\n
\n
- \n
- Conduct structured morning and afternoon walk-throughs of conference rooms, hotel offices, break rooms, printer stations, and common areas, fixing issues on-site.
- \n
- Order catering and snacks for both office restocking and meetings.
- \n
- Manage snack and coffee station inventory across both break rooms, including overall break room upkeep and dishwasher rotation.
- \n
- Maintain coffee and espresso equipment: clean machines, empty grounds and K-Cup bins, keep stations guest-ready.
- \n
- Restock office supplies (printer paper, toner, pens, notepads).
- \n
- Keep printers, copiers, and common equipment functional and ready, coordinating service when needed.
- \n

Team & Office Support:
\n
\n
- \n
- Assist with new hire onboarding: prepare onboarding packages, print and collect signed paperwork, and receive new hires on their first day (onboarding is managed and supervised by the executive team).
- \n
- Send company-wide emails and communications regarding the office, including the monthly building cafe menu.
- \n
- Support office and employee engagement events with day-of setup, vendor reception, and on-site logistics, and own the yearly activities calendar (selecting activities and dates); event planning is led by the executive team.
- \n
- Prepare the monthly expense report for the office debit card (office card only), with training and oversight from the executive team during the first months.

Beyond the responsibilities above, this role includes other duties as assigned by the executive team as office needs evolve.

- Mail, supplies, and tickets are handled without reminders or follow-up.

- The executive support team is freed to focus on executive work because the front of house runs itself.

What You Bring
\n
\n
- \n
- 2+ years of experience in reception, front desk, hospitality, or a client-facing service role; luxury hospitality background is a strong plus.
- \n
- A doer's mentality: you take initiative, own your checklist, and treat every shift at the front as an active job, not a seat.
- \n
- Impeccable presentation, discretion, and judgment in a private, executive-level environment.
- \n
- Strong organization and follow-through, able to juggle a calendar, an inbox, and a lobby at once.
- \n
- Comfort with Microsoft Outlook and Office, conference room AV (screen share, video calls), and able to learn internal systems quickly.
- \n
- Comfort using AI tools in daily work: we use AI heavily across the company, and this role is expected to leverage it for drafting communications, organizing tasks, and working efficiently.
- \n
- Ability to be on your feet, lift and restock supplies, and break down boxes as part of the daily routine.
- \n
- Bilingual English/Spanish is a plus.

Schedule:
\n
\n
Monday through Friday, on-site at our Dallas headquarters. Core hours are 8:00 AM to 5:00 PM with a one-hour lunch break (40-hour week). Hours are flexible depending on the meeting calendar; some days may require staying until 6:00 PM to support late meetings.
