You arrive a few minutes early to prepare the reception area. Doors open—smiles, greetings, and guidance begin. The phone rings; you route calls with ease. A courier drops off packages; you log and distribute them. A manager needs a calendar shift; you reschedule with clarity. Between it all, you update records, handle email, and help teammates with quick-turn tasks—always with professionalism and warmth.
Core Responsibilities
- Welcome visitors and clients with a professional, friendly demeanor and ensure they reach the right person or place.
- Answer, screen, and direct incoming calls promptly and accurately.
- Process incoming/outgoing mail, email, and packages; document and route as needed.
- Maintain orderly digital and physical filing systems for easy retrieval.
- Coordinate staff calendars and schedule appointments with attention to detail.
- Support administrative workflows, including data entry and preparing simple reports.
- Respond to inquiries about our facility and services or connect guests with the appropriate contact.
- Pitch in on team projects and other assignments as needs evolve.
What You Bring
- High school diploma or equivalent; training/certification in office administration is a plus.
- Previous experience in a receptionist, secretary, or comparable front office role.
- Clear, courteous communication and strong interpersonal skills.
- Exceptional organization and the ability to manage multiple priorities.
- Proficiency with Microsoft Word, Excel, and Outlook.
- Discretion with sensitive information and a commitment to confidentiality.
