The Department of Neurosurgery is seeking a friendly, professional, and customer-focused Front Desk Receptionist to join our team. This full-time position supports the academic, administrative, and clinical operations of the Department of Neurological Surgery within the College of Medicine at the University of Florida Health Science Center. As the first point of contact for patients, visitors, faculty, staff, and students, the Front Desk Receptionist serves as the department's receptionist and switchboard operator while providing exceptional customer service in a fast-paced healthcare and academic environment.The Lillian S. Wells Department of Neurosurgery at the University of Florida, College of Medicine is committed to providing comprehensive clinical services for the diagnosis, management, treatment, and rehabilitation of patients suffering from diseases of the brain, spinal cord, and nervous system, including brain tumors, aneurysms, stroke, epilepsy, functional disorders, and spinal disorders and injuries. Our clinical care mission also extends throughout North Central Florida through regional neurosurgery programs. We offer the full spectrum of neurosurgical and neuro-oncology treatment options for both adults and pediatric patients. Our research labs and investigator-led initiatives and clinical trials are developing promising new treatments for neurological diseases that are extremely difficult to treat with conventional therapies. The Department of Neurosurgery offers education and training programs such as ACGME-accredited neurosurgery residency programs and fellowship programs.

Job Description:

Responsible for answering incoming calls from patients, physicians, attorneys, other Health Center
personnel etc. Responsible for distributing calls appropriately, responding to emergency calls, and taking
accurate and legible messages. Transfers Department phones at the end of each business day to the
answering service and calls the service each morning to re-instate the Department phones. Retrieves
(electronically) messages taken at night.

Serves as departmental receptionist. Greets visitors, routes them to their destinations, and responds
independently to requests for information regarding the department. Updates telephone name displays,
submits service requests for adding/changing telephone lines, voicemail, and telephone equipment repair.
Checks for date/time of patient appointments upon request. Signs for, receives and distributes all incoming
packages from Federal Express and United Parcel Service. Maintains log of received packages including
recipient signatures. Orders Federal Express supplies.

Back up for obtaining radiological films and clinical notes for cases reviewed in Neuropathology
conference attended by all physicians and residents and maintaining reports of same. Back up for
assembling materials for weekly Tumor Conference including films, records and other pertinent information.
These activities involve retrieving information from the hospital information system (SMS), compiling list of
patient records to be reviewed, and ensuring that all pertinent paperwork is available for these meetings.
Logs out medical records. Logs in and logs out on Departmental database outside radiological films.
Responsible for maintaining the Department’s inventory of keys.

Maintains inventory of general office supplies and orders supplies under supervision of Administrator
and within established budget. Responsible for inventory of departmental pagers & lab coats. Reports
office equipment failures, e.g. copier, fax machine, beepers to appropriate source and follows up to ensure
that repairs are carried out. Pick up and distribution of office and U.S. mail according to office schedule.

Required Qualifications:High school diploma or equivalent

  • Knowledge of correct spelling and grammar.
  • Ability to verify data for accuracy and completeness.
  • Ability to communicate effectively, verbally and in writing.
  • Previous medical and customer service experience.
