The Receptionist is responsible for greeting visitors, answering and directing incoming calls, managing correspondence, maintaining office organization, and providing administrative support to leadership and staff. The ideal candidate is professional, organized, customer-focused, and capable of managing multiple priorities in a fast-paced office environment.
DUTIES AND RESPONSIBILITIES
• Greet and assist visitors, clients, vendors, and employees in a professional and courteous manner.
• Answer, screen, and route incoming telephone calls to the appropriate departments and personnel.
• Receive, sort, distribute, and process incoming and outgoing mail and deliveries.
• Maintain the reception area and common office spaces to ensure a clean, organized, and welcoming environment.
• Assist with data entry, filing, scanning, and document management activities.
• Coordinate office supply inventory and submit supply requests as needed.
• Support scheduling and calendar management for department leaders and conference rooms.
• Assist with meeting and event coordination, including room setup and visitor accommodations.
• Maintain records, archives, and filing systems in accordance with company procedures.
• Support the documentation and administration of office procedures and protocols.
• Provide general administrative support to Finance and other departments as assigned.
• Handle confidential information with professionalism and discretion.
SUPERVISION
• Position reports to the Accounts Payable Supervisor.
REQUIRED QUALIFICATIONS
• High school diploma or equivalent required; Associate degree in Business Administration or a related field preferred.
• Minimum of one (1) year of receptionist, customer service, administrative, or office support experience preferred.
• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Professional appearance and customer-service-oriented demeanor.
• Ability to manage multiple tasks and prioritize workload effectively.
• Ability to maintain confidentiality and exercise sound judgment.
• Ability to work independently as well as collaboratively in a team environment.
• Reliable attendance and punctuality.
PHYSICAL REQUIREMENTS
• Ability to sit, stand, and walk for extended periods throughout the workday.
• Ability to lift and carry office materials weighing up to 40 pounds.
• Ability to operate standard office equipment including computers, telephones, printers, and scanners.
