Job Summary
 We are seeking a friendly, organized, and customer-focused Front Desk Receptionist to serve as the first point of contact for residents, applicants, vendors, and visitors. This role is essential to creating a welcoming and professional environment while providing outstanding customer service and administrative support.

Essential Duties & Responsibilities
  • Welcome residents, applicants, vendors, and visitors in a professional and courteous manner and direct them to the appropriate staff or department.
  • Answer and route incoming telephone calls promptly, take accurate messages, and manage the voicemail system.
  • Maintain a clean, organized, and professional reception area and ensure all required public notices, including Fair Housing, resident rights, and Limited English Proficiency (LEP) materials, are current and prominently displayed.
  • Receive, sort, date-stamp, and distribute incoming mail, packages, faxes, and interoffice correspondence; prepare outgoing mail as needed.
  • Schedule and confirm appointments and maintain shared calendars and conference room reservations.
  • Assist residents and applicants with completing forms, submitting required documentation, and navigating Housing Authority programs; refer complex questions to the appropriate staff member.
  • Perform general administrative duties including filing, scanning, photocopying, data entry, and preparing routine correspondence.
  • Update and maintain the Housing Authority's social media platforms.
  • Provide excellent customer service while maintaining confidentiality and professionalism.
  • Perform other related duties as assigned.
Minimum Qualifications
  • High school diploma or GED required.
  • At least one (1) year of customer service, receptionist, or general office experience.
  • Excellent interpersonal, verbal, and written communication skills.
  • Professional appearance and demeanor.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
  • Strong organizational skills with the ability to prioritize multiple tasks.
Preferred Qualifications
  • Experience working in public housing, affordable housing, property management, social services, or a government office.
  • Bilingual (English/Spanish) preferred.
  • Familiarity with HUD regulations, or affordable housing services.
Physical Requirements
  • Work is performed primarily in an office and reception area with frequent interaction with the public.
  • Ability to sit and stand for extended periods.
  • Ability to occasionally lift up to 20 pounds.
  • Occasional evening hours may be required for community meetings or events.
