Airbus DS Government Solutions, Inc. is currently searching for a Front Desk Receptionist.
Position Summary
The Receptionist serves as the first point of contact for visitors, customers, and employees while supporting the daily administrative and operational needs of the office. This role is responsible for maintaining a secure, professional, and welcoming environment and ensuring the efficient operation of front office functions in accordance with company policies and Department of Defense (DoD) security requirements.
Essential Job Functions
1. Building Security & Access Control
- Maintain the security of the facility by adhering to all Department of Defense (DoD) security protocols and company policies.
- Verify visitor credentials, manage visitor check-in and check-out procedures, issue visitor badges, and monitor building access.
- Exercise sound judgment when addressing security concerns and escalate issues as appropriate.
2. Reception & Guest Experience
- Serve as the primary point of contact for all visitors, customers, vendors, and employees entering the facility.
- Provide professional, courteous, and timely assistance while fostering a welcoming and hospitable environment.
- Represent the organization with professionalism and exceptional customer service.
3. Office Opening & Closing Procedures
- Complete all daily opening and closing duties in accordance with established office procedures.
- Ensure reception and common areas are prepared for business operations and properly secured at the end of each business day.
4. Administrative Support
- Provide administrative assistance to Administrative Management and other departments as assigned.
- Perform clerical duties including scheduling, filing, data entry, document preparation, record maintenance, quarterly company newsletters, and other administrative tasks that support efficient office operations.
- Assist in maintaining the steady flow of daily office activities.
5. Office Supply & Inventory Management
- Monitor inventory levels for office, kitchen, and break room supplies.
- Replenish supplies as needed and coordinate purchasing or reorder requests to maintain adequate stock levels.
- Maintain organization of storage areas and inventory records.
6. Facilities & Workplace Readiness
- Assist in maintaining a clean, organized, and professional office environment.
- Monitor conference rooms, reception areas, kitchens, and common spaces to ensure they remain presentable and functional.
- Report maintenance or facility concerns promptly to the Facilities Manager.
7. Communication
- Management Answer, screen, and direct incoming telephone calls and electronic communications professionally and efficiently.
- Relay messages accurately and route inquiries to the appropriate departments or personnel.
- Respond to routine inquiries while maintaining a high level of customer service.
8. Mail & Package Administration
- Receive, sort, distribute, and prepare incoming and outgoing mail, packages, and deliveries.
- Coordinate delivery notifications and maintain appropriate documentation when required.
9. Meeting & Event Support
- Support internal meetings, customer visits, and office events by preparing conference rooms, coordinating refreshments, and assisting Administrative Management with logistics.
- Ensure meeting spaces are organized and ready for scheduled use.
10. Professionalism, Reliability & Policy Compliance
- Maintain confidentiality of sensitive company and customer information.
- Demonstrate dependable attendance, punctuality, professionalism, and effective communication.
- Comply with all company policies, procedures, safety standards, and security requirements while supporting the overall success of office operations.
Physical Requirements The physical requirements listed below are representative of those necessary to successfully perform the essential functions of this position, with or without reasonable accommodation.
- Ability to remain seated or stationed at the reception desk for extended periods while maintaining awareness of the reception area.
- Ability to communicate effectively in person, by telephone, and through electronic communication.
- Ability to operate standard office equipment, including computers, printers, telephones, and other office technology.
- Ability to move throughout the office to greet visitors, assist employees, replenish supplies, and support office operations.
- Ability to occasionally lift, carry, and transport office supplies and packages weighing up to 25 pounds.

Qualifications
- High school diploma or GED.
- Customer Service experience preferred.
- Excellent communication skills.
- Highly proficient in MS Office (Word, Excel, PowerPoint, Outlook, Teams) and Canva, with a strong aptitude for learning new electronic tools and software quickly.
