At Via Elegante, we cultivate a positive and professional culture for both our residents and our team. We seek a dynamic team member to join us as our Front Desk Receptionist to run our front desk, greet family members, and complete various administrative duties for our Clinical, HR, and Operations Departments.

This multifaceted role requires a dynamic individual who can balance the demands of greeting residents, family members, vendors, and providers while completing important administrative tasks on a computer. The ideal candidate will have experience in customer service, strong computer skills, and a general knowledge of healthcare administrative needs.

Key Responsibilities:

  • Warmly greet, guide, and assist residents and visitors, ensuring a friendly and professional reception experience.
  • Maintain visitor logs and managing resident sign-ins and sign-outs.
  • Organize, sort, and deliver resident and community mail and packages.
  • Scan, name, file, and shred both physical and electronic documents.
  • Assist with scheduling resident transportation and appointments.
  • Prepare essential documentation for members of the Community Leadership Team.
  • Verify and check-in, and deliver medications to members of the Clinical Team.
  • Oversee the supply inventory by managing, ordering, and restocking office supplies, maintaining copiers, and troubleshooting with support services as required.
  • Ensure the cleanliness of the lobby area and perform light housekeeping as needed to maintain cleaning standards.
  • Record maintenance requests and report all issues up the chain of command.
  • Manage and maintain the facility rent roll on a daily basis.

Qualifications:

  • At least 21 years old.
  • Proficient in Microsoft Word, Excel, Outlook, SharePoint, Teams, and other internet-based applications.
  • Ability to read, write, and speak English fluently.
  • Documentation of negative TB.
  • Acceptable background check appropriate for providing service in an Assisted Living environment.
  • Ability to work under pressure and meet deadlines, while maintaining a positive, professional attitude.
  • Professional in attitude, demeanor, and dress.
  • Self-motivated, detail-oriented, and organized.
  • Ability to manage time effectively.
  • Valid Arizona Driver's License or Identification Card.

Required Licensure and Certificates:

  • Valid Level 1 Fingerprint Clearance Card (or appropriate background check with the ability to apply for a card within 20 days of hire)
  • AZ Memory Care Certificate (or ability to obtain within 30 days)
