Front Desk Representative - Bilingual

Department: Administration
Reports To: Front Desk Supervisor

Position Summary

The Front Desk Representative is the first point of contact for patients and visitors at Health Care Partners of South Carolina. This position is responsible for providing exceptional customer service while managing patient registration, scheduling appointments, verifying insurance information, and maintaining accurate patient records. The Front Desk Representative plays a vital role in creating a welcoming, professional, and efficient patient experience. Bilingual (English/Spanish) is required.

Essential Duties and Responsibilities

·         Greet and check in patients while providing outstanding customer service in a professional and compassionate manner.

·         Answer incoming telephone calls, respond to patient inquiries, and direct calls to the appropriate department or staff member.

·         Schedule, reschedule, and confirm patient appointments while coordinating provider schedules.

·         Register new patients and update patient demographic, insurance, and financial information in the Electronic Health Record (EHR).

·         Verify insurance eligibility and collect copayments, balances, and other patient payments in accordance with organizational policies.

·         Scan and maintain patient documentation, insurance cards, and other required records.

·         Maintain accurate patient records while ensuring compliance with HIPAA and organizational policies.

·         Communicate appointment delays and coordinate patient flow with clinical staff and providers.

·         Assist patients with forms, referrals, and general questions regarding clinic services.

·         Maintain a clean, organized, and welcoming reception area.

·         Participate in required trainings, staff meetings, and quality improvement initiatives.

·         Perform other duties as assigned.

Education & Experience

·         High school diploma or equivalent required.

·         Minimum of one (1) year of experience in a medical office, healthcare setting, or customer service environment preferred.

·         Experience working in a Federally Qualified Health Center (FQHC) or community health center preferred.

·         Experience using Electronic Health Record (EHR) systems and Microsoft Office preferred.

·         Bilingual (English/Spanish) is required.

Knowledge, Skills, and Abilities

·         Excellent customer service, communication, and interpersonal skills.

·         Strong organizational skills with the ability to multitask in a fast-paced healthcare environment.

·         Knowledge of medical office procedures, scheduling, insurance verification, and patient registration.

·         Proficiency in Microsoft Office and Electronic Health Record (EHR) systems.

·         Ability to maintain the confidentiality, security, and integrity of patient information in accordance with HIPAA.

·         Ability to establish positive working relationships with patients, providers, and coworkers.
