We are seeking a friendly, professional, and detail-oriented Front Desk Coordinator to join Coan Eye Care. This role serves as the first point of contact for patients and helps ensure a smooth, welcoming, and efficient experience from scheduling through checkout. The idealcandidate is organized, service-minded, comfortable with technology, and able to multitask in a fast-paced healthcare environment.
Patient Services
Greet patients in person and by phone with professionalism and enthusiasm.
Answer incoming calls promptly and courteously.
Schedule, confirm, reschedule, and cancel appointments.
Maintain appointment waitlists and fill schedule openings when available.
Obtain and update patient demographic and insurance information.
Scan identification cards, insurance cards, referrals, and patient paperwork into the electronic health record.
Assist patients with questions regarding appointments, insurance, and office policies.
Insurance and Financial Responsibilities
Verify insurance eligibility and benefits prior to appointments.
Collect co-pays, deductibles, balances, and payments at the time of service.
Explain patient financial responsibilities.
Assist patients with financing options such as CareCredit.
Process daily receipts and maintain accurate payment records.
· Review outstanding balances and assist with collection efforts.
Administrative Duties
Obtain previous medical records and referrals as needed.
Process incoming faxes, texts, and electronic communications.
Assist with record requests and office correspondence.
Monitor schedules for accuracy and efficiency.
Maintain confidentiality and HIPAA compliance at all times.
Patient Flow and Team Support
Assist in maintaining efficient patient flow.
Communicate patient concerns or scheduling issues to doctors and clinical staff.
Support optical, contact lens, and clinical departments when needed.
Help coordinate special testing appointments and follow-up visits.
· Contribute to a positive team culture and patient experience.
Office Appearance
Ensure patient-facing materials are stocked and current.
Assist with daily opening and closing procedures.
Help maintain the appearance of common areas and patient reception spaces.
Qualifications
High school diploma or equivalent required.
Prior medical, ophthalmic, optometric, dental, or healthcare front desk experience preferred.
Knowledge of insurance verification and medical office procedures preferred.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Proficiency with electronic medical records and basic computer applications.
Ability to multitask and maintain accuracy in a fast-paced environment.
