Job description

As the first friendly face our patients see, the Front Desk Representative plays a vital role in creating a welcoming and seamless experience for our patients from arrival to departure.  You will be responsible for patient registration, ensuring accurate and efficient collection of information, patient checkout, including scheduling follow-up appointments

Beyond administrative tasks, you are the heartbeat of our front office, delivering exceptional customer service with empathy, professionalism and attention to detail.  Your ability to anticipate patient needs, answer questions with clarity, and coordinate smoothly with clinical staff will help ensure every visit is stress free and positive. 

Front Desk Representative Job Responsibilities:

  • Serves patients by greeting, assisting to schedule appointments, maintaining records and accounts.
  • Welcomes patients and visitors in person or on the telephone and answering or referring inquiries.
  • Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
  • Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.
  • Helps patients in distress by responding to emergencies.
  • Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
  • Maintains operations by following policies and procedures, reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.

Qualifications / Skills:

  • Education:   High School Diploma or equivalent required; associate degree or medical office certification preferred
  • Experience:   1 - 2 years in a medical office, health care setting, or optometry office role preferred.
  • Proficiency with electronic health records (EHR) systems 
  • Comfortable using Microsoft Office Suite and multi-phone line systems
  • Exceptional communication and active listening skills
  • Strong organizational abilities with keen attention to detail
  • Ability to multitask and prioritize in a fast-paced environment.
  • Empathy, patience and a genuine passion for helping others.
  • Knowledge of HIPPA regulations and commitment to patient confidentiality
  • Must be Bilingual
