We are seeking a motivated and efficient Front Desk Secretary to join our medical practice.
As a Front Desk Medical Secretary, you will be responsible for managing a fast-paced front desk and providing exceptional customer service to our patients. Assisting with medical paperwork and answering questions via patient calls/emails/messages.
Schedule will be Monday to Saturday Clinic Days.
Must be able to travel to the following office locations:
- 2029 First Ave. Suite 1A. Manhattan, NY 10029 (every week).
- 26 Sherman Ave, Suite 1B. New York, NY 10040 (once a month).
- 145 East 32nd Street, Suite 1A. Manhattan, NY 10016 (twice a month).
- 150 East 58th Street, 32nd Floor Main Building. Manhattan, NY 10155 (twice a month).
- 175-43 Hillside Avenue, Suite 1A. Jamaica Estates, NY 11432 (twice a month).
- 50 Court Street, Suite 508A. Brooklyn, NY 11201 (twice a month).
- 731 Flushing Ave, Suite 1A. Brooklyn NY 11206 (once a month).
- 11 Ralph Place, Suite 217. Staten Island, NY 10304 (once a month).
- 1383 Veterans Hwy, Suite 40A. Hauppauge, NY 11788 (once a month).
- 393 Old country Rd. Suite 303. Carle Place, NY 11514 (twice a month).
Language:
- Spanish (Preferred).
- English Required.
The team member must:

- Have proficiency in email and electronic medical record systems.
- Be flexible in scheduling patients.
- Have excellent communication and interpersonal skills.
- Be Professional.
- Office dress code is formal and professional.
- Must Help with Daily Office Clean up.
- Must be able to commute consistently.
Responsibilities/Requirements:
- Arriving 30 minutes before the clinic opens (830AM).
- Scanning and sorting mail daily.
- Greet patients and visitors, check them in and out, and ensure they are directed to the correct healthcare provider.
- Manage patient records using our electronic medical record system.
- Manage patient referrals and coordinate care with other healthcare providers.
- Scheduling future/follow-up appointments based on patient needs.
- Checking/Correcting insurance information.
- Working with the back office team for insurance and billing questions.
- Calling patients who have missed appointments to reschedule.
- Completing required paperwork for patients using physician reports.
- Ensure medical records/demographics are complete for patients prior to their visits.
- Obtain insurance information when missing and help back off team with patient communication.
- Maintaining a clean and positive work environment.
