    Position Title: Front Office Administrative Assistant

    Position Summary

    Front Office Administrative Assistant for Central Office serves as a primary point of contact for the Roanoke Rapids Graded School District and provides reception, clerical, and administrative support to Central Office staff. This position greets and assists visitors, answers and directs telephone calls, responds to routine inquiries, maintains records, prepares correspondence and documents, and provides general administrative assistance to district departments.

    The successful candidate will be professional, organized, dependable, courteous, and able to handle multiple responsibilities while maintaining confidentiality and providing excellent customer service.

    Essential Duties and Responsibilities

    • Serve as the first point of contact for visitors and the public entering the Central Office.
    • Greet visitors and assist them in determining the appropriate department or staff member.
    • Answer, screen, and direct incoming telephone calls and respond to routine questions.
    • Provide information to employees, parents, students, community members, and other visitors or direct them to the appropriate staff member.
    • Maintain a professional, organized, and welcoming Central Office reception area.
    • Receive, sort, distribute, and prepare outgoing mail and other correspondence.
    • Assist Central Office staff with general clerical and administrative duties.
    • Prepare, type, copy, scan, file, and distribute correspondence, forms, reports, and other documents.
    • Maintain accurate electronic and paper records and files.
    • Enter and update information in district computer systems and databases.
    • Assist with scheduling meetings, appointments, and other district activities.
    • Assist with preparing materials for meetings, presentations, and district events.
    • Assist with purchasing, supply orders, invoices, and other routine office processes as assigned.
    • Assist various Central Office departments with special projects and administrative tasks.
    • Maintain confidentiality of personnel, student, financial, and other sensitive district information.
    • Monitor and maintain office supplies and equipment.
    • Provide general administrative support as needed to ensure the efficient operation of the Central Office.
    • Perform other duties as assigned by the supervisor.

    • Excellent customer service and interpersonal skills.
    • Ability to communicate effectively and professionally, both orally and in writing.
    • Strong organizational skills and attention to detail.
    • Ability to prioritize and manage multiple tasks in a busy office environment.
    • Ability to maintain confidentiality and exercise good judgment.
    • Ability to establish and maintain effective working relationships with employees, administrators, parents, students, and the public.
    • Proficiency in Microsoft Office and other computer applications.
    • Ability to learn and use district-specific software and electronic systems.
    • Ability to work independently while also functioning effectively as part of a team.

    Minimum Qualifications

    • High school diploma or equivalent required.
    • Previous clerical, receptionist, office, or administrative experience preferred.
    • Experience working in a school or public-sector environment is preferred but not required.
    • Such alternatives to the above qualifications as the Superintendent or designee may find appropriate and acceptable.

    Work Environment

    Work is performed primarily in a Central Office environment with frequent interaction with employees, administrators, visitors, parents, and members of the public. The position requires the ability to work effectively in a busy environment with frequent interruptions while maintaining professionalism, accuracy, and confidentiality.
