                                                                 Front Office Administrator
Downs Rachlin Martin PLLC- one of New England’s largest law firms - is seeking a dynamic Front Office Administrator to join our team in the Burlington, Vermont office. The ideal candidate will provide administrative support including managing administrative tasks, coordinating clients and visitors, maintaining office supply inventory, and working collaboratively with our attorneys, paralegals and staff to ensure the delivery of high-quality client services.

Duties:

  • Answer and direct phone calls.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages.
  • Greeting clients and visitors.
  • Set up refreshments for client meetings, including water service, and coordinate lunch orders as needed.
  • Responds to inquiries from employees, clients, guests, visitors and vendors and refers inquiries, when necessary, to the appropriate person or department.
  • Taking inventory of/and ordering office supplies and maintain postage meter.
  • Maintains a courteous and professional demeanor, utilizing effective communication skills with all administrative staff, attorneys, paralegals, and clients/guests.
  • Exhibits an ability to adapt to and balance competing demands in a fast-paced environment.
  • Assist with office events with clients and visitors.
  • Keep work areas and file rooms orderly.
  • Completes other office-related tasks as needed and requested.

Qualifications:

  • Must be able to occasionally work early morning, late evenings, or overtime as needed to meet client needs.
  • Proficiency with MS Office 365 and its applications.
  • Possess exceptional organizational skills and an aptitude for prioritizing tasks.
  • Strong communication skills.
  • Ability to learn software applications quickly.
  • Ability to multi-task in a fast-paced environment.
  • Ability to work both independently and as part of a team.
  • High School Diploma or equivalent.

This is an in-person position. The expected pay range is $20.00 – $25.00 per hour. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
