MAJOR RESPONSIBILITIES/ESSENTIAL FUNCTIONS

Position Summary:

This employee who holds this position represents the first impression patients will experience in our office. Employee shall greet each patient in a professional and friendly manner. Primary responsibilities include front office operations related to welcoming patients, answering phones, scheduling appointments, patient registration, insurance verification, authorization processes and charge entry. This position requires the ability to multitask many complex issues at once and the employee must possess outstanding verbal and written communication skills.

  • Answer telephones promptly and courteously, identifying his/her self and office. Take appropriate messages when necessary. Assess urgency of calls and direct to appropriate staff.
  • Schedule patient appointments and resolve scheduling conflicts. Notify patients of changes/cancellations and prioritize urgency of appointments for rescheduling.
  • Obtain all required authorizations and verify that the authorizations are approved correctly prior to scheduling appointments.
  • Initiate the authorization and referral request process to coordinate continued patient care.
  • Verify insurance benefits for network participation, including co-payments and deductible information for point of service collections. Collect and record the payment of co-pays and balances due at time of service.
  • Obtain the required patient and guarantor demographic and financial information for appropriate registration
  • Register all patients as requested by physician.
  • Review pertinent materials with patients and obtain required signatures on all registrations forms, consents and other forms as needed.
  • Scan all registration documents such as new patient registration, registration updates, consents, patient identification and insurance cards as needed.
  • Demonstrate extensive knowledge of clinical information and practices of patient care and be able to appropriately triage patient calls.
  • Ensure that all patient data information is correct and updated as needed.
  • Maintain confidentiality of all reports and patient information.
  • Pick up, sort, screen and distribute incoming mail and faxes
  • Prepare and execute requests to receive and to send out medical records, ensuring that all are complete and contain correct information to protect patient privacy.
  • Maintain and replenish materials, office supplies etc. to successfully run the front desk.
  • All other duties as assigned.

JOB QUALIFICATIONS

Minimum Education

  • High School Diploma or equivalent

Preferred Education

  • Bachelor's Degree in healthcare related field

Minimum Work Experience and Qualifications

  • Previously front office coordinator experience in a physician practice environment/
  • Ability to communicate effectivity verbally and in writing.
  • Excellent customer service and ability to work in a fast past environment.

Preferred Work Experience and Qualifications

  • Knowledge of surgery office procedures preferred. Previous experience as an Admitting Representative in an acute healthcare setting, preferred Knowledge of medical terminology
  • Ability to speak Korean strongly preferred

Required Licensure, Certification, Registration or Designation

  • Valid Los Angeles County Fire Card (required within 30 days of hire)
  • Assault Response Competency (ARC) (required within 30 days of hire)

Status: Full Time

Shift: Days

Hours: 8hrs (8:30am - 5:00pm)

Weekly/Bi-Weekly Hours: 40hrs/80hrs
