Responsibilities:
  • Answer all incoming calls in a professional/courteous manner and relay any messages to appropriate staff along with any pertinent information.
  • Maintain effective and timely communication with all staff.
  • Check fax machine and disperse all items in a timely fashion.
  • Maintain an appropriate inventory level of supplies as needed to efficiently aide in the treatment of patients and maintain efficient office duties.
  • Maintains patient confidentiality with regard to medical records per company policies and procedures and assures compliance with all HIPAA guidelines.
  • Assures cleanliness and safety of the assigned area/clinic with a walk through completed daily, checking supplies during walk through.
  • Greet patients in courteous and professional manner.
  • Establishes weekly schedule for all patients and ensures that all new evaluations are scheduled appropriately. Every attempt should be made to schedule all new referrals within specified timeframe.  If unable to reach patient on first day then a record of all attempts to schedule should be maintained.
  • Takes referrals for new patients and assures compliance with established company policies and procedures for conversion rate.
  • Perform intake procedures by supplying appropriate paperwork to patient for completion. Review to make certain all pertinent information has been completed.  Copy insurance cards for patient file.
  • Assures all necessary documentation is being processed according to the timeliness as established in the policy and procedure manual.
  • Timely processing, distribution, and tracking of all documentation to physicians for signature.
  • Follow appropriate discharge policies and procedures completing each file for discharge.
  • Meet with patient to establish budgets, discuss co-pays and advise of unusual requests for payment arrangements or problems prior to discussing with patient.
  • Prepare and distribute patient schedules as necessary.
  • Coordinate all office functions and staffing to assure appropriate patient treatment.
  • Ensures all staff is kept informed of all changes in policies and procedures, upcoming events, meeting, etc.
  • Ensures cancellations are kept to the absolute minimum where appropriate.
  • Collect and process all co-payment/deductibles, completing receipt using pegboard system and forward to Accounting on a weekly basis depending on location.
  • Act as liaison between all outside companies, vendors and TLC Rehab Inc.
  • Follow established procedures pertaining to the care of the equipment, established by the facility, maintaining their good working order and cleanliness.
  • Prepare, maintain and clean treatment, lobby, and kitchen areas; maintain supportive areas on a daily basis.
  • Prepare all patient charts for the present day’s caseload including:
  • Maintain charts in a neat and orderly fashion, ensuring that all documents are secure in the patient’s file.
  • Assist patients as necessary for the preparation of therapy and assist with all aspects of safety during and at the conclusion of the treatment.
  • Assist Therapist in performing treatment procedures pre-determined for each patient by and under the direct supervision of the Registered Physical/Occupational Therapist.
  • Audit patient charts for completion of forms and preparation for final discharge audit.
  • Track POC’s and prescriptions for compliance.
  • Notify Therapists of due date on POC’s.
  • Other duties as assigned by the Area Manager or clinic Therapists.
Qualifications:
  • Nurse’s Aid Certification or equivalent health paraprofessional training or 1 + years experience in the rehabilitation field.
  • Excellent computer skills related.
  • Excellent organizational and customer service skills,
  • Ability to work well individually as well as within a team.
  • Excellent communication skills.
  • Demonstrates the ability to lift and control 60 pounds.
