Front Office Customer Service Associate

Location: On-Site

Job Type: Full-Time

Compensation: Competitive, based on experience

Schedule: 5 days/week including one weekend day; weekdays 9:00 AM–5:00 PM, weekends 9:00 AM–3:00 PM (1-hour lunch)

Job Summary

This Front Office Customer Service Associate role is a highly visible, front-line position serving as one of the first points of contact for customers, prospective clients, and the community. The role reports to the Customer Service Supervisor and is central to a smooth, professional customer experience.

Responsibilities

      Deliver courteous, professional service to current and prospective customers

      Support partners, vendors, and community members with clear, timely communication

      Respond to customer inquiries promptly across multiple channels

      Handle front-office duties including opening procedures, coordinating with affiliated organizations, and assisting with annual services

      Review, verify, and process customer applications in line with company policy and regulations

      Scan, file, and maintain documentation across digital and physical systems

      Provide phone and email support, including drafting correspondence when needed

      Process payments (checks, credit cards, and other approved methods) accurately

      Prepare, proofread, and distribute reports and business documents

      Coordinate with Sales and Accounting to resolve issues efficiently

      Maintain accurate, audit-ready customer records

      Learn and use internal management software effectively

      Take on additional administrative tasks as needed

Qualifications

      High school diploma or equivalent

      Proven ability to build positive, professional working relationships

      Strong commitment to service quality

      Excellent interpersonal, verbal, and written communication

      Detail-oriented with strong time management; punctual and dependable

      Comfortable in a fast-paced, high-volume environment

      Proficient in Microsoft Word, Excel, and Outlook

      Flexible and adaptable to shifting priorities
