Job Title: Front Office Medical Assistant

Job Description

The Front Office Medical Assistant provides welcoming and efficient front desk support in a busy healthcare practice. This role greets and checks in patients, manages appointment scheduling and provider calendars, maintains accurate electronic health records, and supports insurance verification and basic billing inquiries. The position plays a key role in ensuring smooth patient flow and a positive experience for every visitor to the clinic.

Responsibilities

  • Greet patients warmly upon arrival, check them in, and verify demographic and contact information for accuracy.
  • Collect and update insurance information, ensuring all required details are complete and current.
  • Answer incoming phone calls promptly and professionally, addressing questions, routing calls, and taking messages as needed.
  • Schedule, reschedule, and confirm patient appointments while managing provider calendars to maximize clinic efficiency.
  • Maintain accurate and up-to-date patient records in the electronic health record (EHR) system.
  • Verify insurance eligibility and benefits, and process insurance forms in a timely and accurate manner.
  • Assist patients with basic billing inquiries and direct more complex questions to appropriate staff.
  • Collect copays and other patient payments at check-in or check-out and follow established procedures for handling payments.
  • Assist with patient check-out, including scheduling follow-up appointments and providing visit-related instructions as directed.
  • Coordinate closely with clinical staff to support patient flow and minimize wait times.
  • Provide general administrative support to the front office and clinical team to ensure efficient daily operations.

Essential Skills

  • Experience in a medical office or front desk role, with 1 year of prior experience preferred.
  • Proficiency in appointment scheduling and managing provider calendars.
  • Ability to use electronic health record (EHR) systems to enter, update, and retrieve patient information.
  • Knowledge of medical terminology sufficient to support scheduling, documentation, and communication with clinical staff.
  • Experience with insurance verification and basic understanding of insurance processes.
  • Strong customer service skills with a patient-centered approach.
  • Clear and professional verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced healthcare environment.
  • Attention to detail and accuracy when handling patient records, insurance information, and payments.
  • General medical assisting knowledge and comfort working in a healthcare setting.

Additional Skills & Qualifications

  • Medical Assisting Diploma preferred.
  • Previous experience providing administrative support in a healthcare or medical office environment.
  • Familiarity with healthcare workflows, including patient intake, scheduling, and follow-up.
  • Ability to work collaboratively with physicians, advanced practice providers, medical assistants, and front office staff.
  • Strong organizational skills and the ability to maintain composure under pressure.
  • Commitment to providing respectful, compassionate, and professional service to all patients and visitors.

Work Environment

You will work in a collaborative outpatient healthcare setting alongside a small, multidisciplinary team that includes a physician, physician assistants, nurse practitioners, medical assistants, and front office and referral staff. The environment is fast-paced and patient-focused, with frequent interaction by phone and in person. You will use electronic health record (EHR) systems, scheduling software, and standard office equipment throughout the day. Professional attire appropriate for a clinical front office setting is expected.

Job Type & Location

This is a Contract to Hire position based out of Santa Ynez, CA.

Pay and Benefits

The pay range for this position is $23.00 - $26.00/hr.
