Fulfillment And Logistics Coordinator
Novo Space is a next-generation aerospace startup building high-performance electronics and systems for the space industry. We are seeking a highly organized and proactive Fulfillment and Logistics Coordinator to manage day-to-day shipping, inventory, and logistics operations. This role also supports general office management and purchasing activities, ensuring smooth internal operations and efficient supply chain execution.
The ideal candidate is detail-oriented, hands-on, and comfortable working in a fast-paced environment where logistics, operations, and administrative responsibilities intersect.
Key Responsibilities
- Coordinate and execute outbound shipments (domestic and international), including packing, labeling, and documentation
- Manage inbound shipments and verify received goods against purchase orders
- Maintain accurate inventory records and perform regular cycle counts
- Coordinate with carriers, freight forwarders, and customs brokers
- Prepare shipping documentation (commercial invoices, packing lists, export docs, etc.)
- Track shipments and resolve delivery issues or delays
- Optimize shipping methods, costs, and lead times
Inventory & Warehouse Coordination
- Organize and maintain warehouse/storage areas for efficiency and traceability
- Monitor stock levels and flag replenishment needs
- Support kitting, order preparation, and product handling processes
- Ensure compliance with handling and storage requirements
Purchasing & Procurement
- Assist in sourcing and purchasing office supplies, tools, and operational materials
- Create and track purchase orders and supplier communications
- Maintain supplier records and pricing information
- Support cost tracking and basic procurement analysis
Office Management Support
- Oversee general office operations, including supplies, equipment, and vendor coordination
- Manage office inventory (consumables, IT equipment, etc.)
- Coordinate maintenance, cleaning services, and facility needs
- Support onboarding logistics (workspace setup, equipment provisioning)
- Assist with administrative and operational tasks as needed
Qualifications
- 2+ years of experience in logistics, fulfillment, operations, or similar role
- Familiarity with shipping processes, inventory management, and basic procurement
- Experience with shipping platforms (e.g., UPS, FedEx, DHL) and ERP/inventory systems is a plus
- Strong organizational and multitasking skills
- Excellent attention to detail and problem-solving ability
- Proficiency in Microsoft Office / Google Workspace
- Ability to work independently and take ownership of processes
- Basic knowledge of international shipping and export compliance
Preferred Qualifications
- Experience in manufacturing and hardware
- Experience with warehouse organization and process optimization
- Passion for space, satellites, and technology that pushes boundaries.
