Fulfillment Coordinator

Position Summary
The Spare Parts Fulfillment Coordinator plays a critical role within the Aftermarket team and
is responsible for the fulfillment process of spare parts orders, including collecting, staging,
verifying, packaging, and shipping parts. This position helps ensure orders are processed
accurately, efficiently, and on time while supporting daily shipping requirements and urgent
customer needs.
The role operates in a fast-paced environment with daily processing goals and frequent
changes in priority. The successful candidate must be able to work with a sense of urgency,
adapt quickly to expedited shipment requests, manage multiple tasks simultaneously, and
maintain a high level of accuracy and attention to detail.

Essential Duties and Responsibilities
Parts Collection & Staging
• Retrieve manufactured parts from Production and Quality Control departments.
• Retrieve purchased and stocked parts from inventory locations.
• Record collection details and quantities to maintain traceability.
• Stage parts by sales order using designated staging locations and barcode systems.
• Maintain accurate staging records and organized fulfillment areas.
• Perform inventory and staging audits as required.
Order Verification & Fulfillment
• Review available-to-ship reports and identify orders ready for shipment.
• Verify parts and quantities against order requirements.
• Ensure all order components are complete and accurate prior to shipment.
• Complete required documentation and system transactions.
• Upload supporting records and documentation into Syteline ERP.
• Prioritize and adjust workflow throughout the day to accommodate urgent orders and
expedited shipments while maintaining accuracy.
Packaging & Shipping
• Package and label shipments according to company standards.
• Prepare shipments using UPS, FedEx, and other carrier systems.
• Generate shipping labels, packing slips, and required documentation.
• Coordinate carrier pickups and assist with shipment handoff.
• Ensure shipments are properly packaged to prevent damage during transit.
Freight & Special Shipments
• Assist with preparation of skidded, crated, and oversized shipments.
• Coordinate freight shipments and special transportation requirements.
• Arrange expedited and emergency shipments when required.
• Support shipment preparation activities to meet customer delivery requirement

Package and ship return material to vendors.
• Ensure proper documentation and labeling of return shipments.
• Support inventory accuracy through verification and documentation activities.
• Assist with material movement and organization of fulfillment areas.
Cross-Functional Coordination
• Work closely with Spare Parts, Stock, Quality Control, Production, Purchasing, and
Shipping personnel.
• Communicate order status and shipment readiness to internal stakeholders.
• Support department initiatives focused on improving efficiency, accuracy, and
customer service.
• Assist with other fulfillment and warehouse-related activities as needed.
