Part-time, up to 25 hours per week. This position will remain open until filled, or at the discretion of Great Bay Community College.

CCSNH has established employer status within the New England states (Maine, New Hampshire, Vermont, Massachusetts, Connecticut, and Rhode Island). In compliance with CCSNH policies and state regulations, eligibility for employment within CCSNH and its institutions requires residency within a New England state.

SCOPE OF WORK: Provides technical and administrative support within the Center for Academic Planning and Support with responsibility for assisting with services and providing information to students. This position reports to the Director of the Center for Academic Planning and Support (CAPS).

ACCOUNTABILITIES:

  • Manages the front desk space, greeting students, guests, faculty, and staff to triage their needs, providing information, scheduling, and referrals. Serves as the point person for answering center phones and email. Helps all new students with the set-up of their EZLogin access.
  • Performs database entry, maintenance, and reporting across multiple databases, including Navigate, TargetX, Banner, Accuplacer, and others. Performs basic research using multiple college resources and databases.
  • Provides accommodated placement and course testing, as well as alternative make-up testing. Works in partnership with CAPS Director and Accessibility Advisor & Services Coordinator to follow testing policies, procedures, and protocols for this population.
  • Outreaches to students by phone, email, and text as requested by Center staff, scheduling Academic Coaching, Academic Advising, specialty area student support services, and other resources as appropriate.
  • Assists the CAPS Director in executing the department’s communication plan including outreach to both current and prospective students. Creates and updates informational/promotional documents.
  • Pre-advises matriculated and non-matriculated students on course pre-requisites and program requirements per catalog; selective Admissions program requirements per departmental policy; and test scores (especially as they relate to course placement), etc.
  • Extensively uses information such as college catalog, Great Bay Community College program information, CCSNH sister college program information, English and math placement charts, departmental standards, and requirements including Admissions guidelines, etc. to clarify policies, procedures and standards to current and prospective students and family members, guidance counselors, Great Bay Community College faculty, staff, and administration as well as the public. Using updates from the Curriculum Committee, annually assists with updates of all program sheets.
  • In the absence of the Academic Support Specialist (Testing), provides the following:
    1. Scheduling and administration of Accuplacer sessions, placement testing, and testing agreement tests. Provides information about the next steps needed. Input testing results into Banner, Navigate, and TargetX for covered testing.
    2. Meets with students after placement testing and interprets scores and course placement; discusses with students the review options; and explains the retest procedure. Conducts outreach and scheduling for new students once testing requirements have been fulfilled.
  • Serves on College and System Committees as appropriate to position.
  • Complies with all system, college, state and federal rules and regulations.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education: Associate Degree in Human Services, Business/Management, Information Technology, or related field.

Experience: Three years of experience in academic/career advising, admissions, teaching, occupational training, and/or student support within an educational setting.

OR

Education: Bachelor’s degree in human services, business/management, Information technology, or related field.

Experience: One year of experience in academic/career advising, admissions, teaching, occupational training, and/or student support within an educational setting.

RECOMMENDED WORK TRAITS: Experience with MS Office Suite and email. Knowledge of English, spelling, and arithmetic. Knowledge of office record keeping and reporting. Ability to gather, assemble, correlate, and analyze facts and identify existing or potential problems. Ability to contribute to the development of sound operational procedures. Ability to make sound judgment in appraising situations and making routine decisions. Ability to follow specific instructions in gathering facts, data, or resources in organizing required information. Ability to meet with students and explain the programs sponsored by the department in which the position is located. Ability to present ideas clearly and effectively. Ability to establish and maintain effective working relationships. Knowledge of modern office practices, procedures, and equipment. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as required by the college.
