As an Administrative Support II professional, you will play a key role in ensuring the smooth operation of programs that positively impact students, families, and schools. In this role, you will build valuable experience in office administration, student data management, records maintenance, and professional communication while working with a dedicated team of educators and support professionals. You will be entrusted with confidential information, coordinate important administrative processes, and serve as a reliable resource for stakeholders across the program. Ideal for individuals who enjoy organization, problem-solving, and making a difference behind the scenes, this position provides an opportunity to contribute to student success while developing skills that support long-term professional growth.

Summary of Responsibilities

  • Performs advanced and confidential administrative support duties, which include entering data using an automated system and routine correspondence.

  • Supports the Assistant Director and Data Coordinator with the internal database.

  • Maintains departmental files and records. Performs data collection and file audits.

  • Assists other admins in receiving and directing incoming calls and visitors, including vendors and UVU employees.

  • Responds to general inquiries regarding office operations.

  • General office duties, including coordinating with Admin III regarding maintenance of the office, ie, facilities and equipment repair requests

  • Performs other job-related duties as assigned

Qualifications / Licenses / Certifications

  • Graduation from an accredited institution with an associates degree and one year of experience; OR any combination of education and experience related to the summary of duties totaling three years.
  • Valid drivers license and ability to drive a state car, when needed.

Knowledge / Skills / Abilities

Knowledge

  • Knowledge and experience working in an education or office environment.
  • Knowledge of the use of Microsoft Office applications.
  • Knowledge of office methods, techniques, practices, and procedures.

Skills

  • Skills in the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, texting platforms, and Microsoft Office.

Abilities

  • Ability to perform a variety of administrative support duties with minimum supervision.
  • Ability to follow verbal and written procedures and instructions.
  • Ability to communicate effectively, orally and in writing.
  • Ability to meet and work with people of various backgrounds.
  • Ability to coordinate and assist in the preparation and monitoring of departmental office procedures.
  • Ability to drive a state car when needed, with a valid driver's license.
  • Flexibility to perform other duties as assigned.

Utah Valley University

Utah Valley University was established in 1941 as Central Utah Vocational School (CUVS) with the primary function of providing war production training. CUVS was part of the Provo School District located in south Provo. The institution received a state appropriation in March 1945 of $50,000 to operate for the 1945-1947 biennium. In 1947, the school received funding as a permanent state institution. A new site for the school was acquired on University Avenue in Provo in 1948; in the 1952, the state appropriated funding for the first construction on that site. As enrollments grew, the state acquired over 185 acres in southwest Orem and the first building was completed in 1977. Today, the University’s facilities consist of a combined total of 412 acres with 50 buildings with campuses in Orem, Provo, and Heber City and property in Vineyard and at Thanksgiving Point in Lehi.
