CHASE Staffing is hiring for a General Affairs Admin in the White, GA area. This is a temp to hire opportunity in a warehouse setting.

Monday - Friday 8:00am to 5:00pm

Pay: $24.00 per hour

The General Affairs Administrator is responsible for supporting day-to-day administrative operations that ensure smooth office and facility functionality. This role focuses on accurate invoice processing, expense tracking, internal mail and package distribution, replenishment of office supply inventory, and the execution of operational errands and support tasks.

The position requires strong organizational control, high attention to detail, vendor coordination, and the ability to provide timely administrative support to internal departments.

Job-Specific Function

1) Invoice Processing & AP Coordination

  • Receive, review, and process vendor invoices for General Affairs-related services and purchases
  • Verify invoice accuracy against purchase orders, service completion records, contracts, and approved quotations
  • Coordinate with Finance / Accounts Payable team to ensure timely payment processing
  • Follow up with vendors on invoice discrepancies, missing backup documents, or billing errors
  • Maintain invoice submission logs and payment status trackers
  • Support monthly invoice closing deadlines and accrual reporting requirements
  • Ensure proper cost center, GL code, and budget allocation before submission
  • Organize invoice files and digital records for audit readiness

2.Invoice / Expense Tracking

  • Maintain detailed trackers for monthly operational expenses, including:
  • All GA related outsourcing invoices
  • Office supplies
  • Mail/courier costs
  • Miscellaneous administrative purchases
  • Monitor budget usage versus approved monthly and annual plans
  • Prepare weekly and monthly expense summary reports for management review
  • Identify abnormal spending trends, duplicate charges, or missing invoices
  • Support expense forecasting and recurring service cost planning
  • Assist with vendor spend history analysis and reporting

3) Mail Distribution & Package Control

  • Manage incoming and outgoing mail, parcels, and courier shipments
  • Sort and distribute mail to the correct departments, offices, or designated employees
  • Maintain chain-of-custody logs for important packages, checks, confidential documents, and legal notices
  • Coordinate with carriers such as UPS, FedEx, DHL, and internal receiving teams
  • Investigate lost, delayed, or misrouted packages
  • Support special handling for executive, HR, and confidential mail
  • Maintain parcel locker, storage cabinet, or temporary holding area organization

4) Office Supplies Restocking

  • Monitor stock levels of daily office consumables including:
  • Printer paper
  • Toner / ink
  • Pens / notebooks
  • Pantry items
  • Breakroom supplies
  • Restroom consumables
  • Perform routine inventory checks and reorder supplies before stock-out occurs
  • Maintain minimum and maximum inventory thresholds
  • Coordinate with approved suppliers for replenishment orders
  • Track monthly consumption trends and identify waste reduction opportunities
  • Support departmental requests for special office items
  • Ensure supply storage areas remain organized and labeled

5) General Errands & Administrative Support

  • Perform operational errands to support business continuity, including:
  • Emergency purchase pickups
  • Internal department delivery requests
  • Support meeting room setup materials and administrative event preparation
  • Assist with urgent office service requests from leadership or departments
  • Provide backup support for reception, visitor coordination, and administrative desk operations
  • Support document printing, lamination, signage placement, and filing tasks
  • Assist in special administrative projects assigned by management

REQUIRED QUALIFICATIONS

· Currently pursuing a Bachelor’s degree in Business Administration, Facility Management, or a related field

· Interest in general operations, facility management, or administrative support

· Proficient in Microsoft Office (Excel, Word, PowerPoint)

· Strong verbal and written communication skills

· Highly organized, responsible, and adaptable
