Job Description

This role provides advanced clerical and administrative support to ensure the smooth and efficient operation of an office environment. The position focuses on organizing daily office activities, managing information and documentation, and delivering professional customer service to staff, visitors, and external contacts.

Responsibilities

  • Provide advanced clerical and administrative support to ensure the smooth operation of the office.
  • Manage incoming and outgoing mail, packages, and deliveries with precision, ensuring accurate and timely distribution to designated recipients.
  • Perform data entry tasks by updating records, spreadsheets, and databases, maintaining accurate and up-to-date documentation.
  • Organize and maintain office filing systems, including photocopying, scanning, and filing documents, to ensure orderly and accessible workspaces.
  • Maintain a neat and organized office environment, ensuring workspaces and common areas remain orderly and efficient.
  • Greet visitors and guests in a warm and professional manner, creating a positive first impression and fostering a welcoming atmosphere.
  • Independently answer and direct incoming calls to the appropriate individuals or departments, providing accurate information and assistance as needed.
  • Coordinate appointments, meetings, and events, demonstrating effective time management and scheduling skills to support staff and visitors.
  • Oversee routine administrative tasks such as ordering office supplies, monitoring inventory levels, and ensuring operational needs are consistently met.
  • Collaborate with colleagues and other departments to support daily office operations and ensure consistent service delivery.
  • Maintain confidentiality and handle sensitive information with discretion while performing administrative duties.

Essential Skills

  • Demonstrated work history in administrative support in a similar role.
  • Proficiency in computer skills and familiarity with office software applications, including Microsoft Office.
  • Accurate and efficient data entry skills with strong attention to detail.
  • Strong customer service skills with the ability to interact professionally with visitors, callers, and staff.
  • Ability to manage multiple tasks and prioritize responsibilities in a busy office environment.
  • Effective verbal and written communication skills for handling calls, emails, and in-person inquiries.
  • Organizational skills to maintain orderly files, records, and workspaces.
  • Ability to work independently with minimal supervision while following established procedures.

Additional Skills & Qualifications

  • Timekeeping experience is a plus, including familiarity with timekeeping software and processes.
  • Experience working in a distribution or similar office environment is beneficial.
  • Comfort using office equipment such as scanners, photocopiers, and printers.
  • Ability to learn and adapt to new tools, systems, and office technologies.

Pay and Benefits
