Summary

Answers all incoming phone calls from the general public and/or clients, directing them to the appropriate agency. Is first point of contact for customers coming to the Resource Connection for services. Prepares photo identification badges for Resource Connection. Schedules all meetings/conferences/activities in the meeting/conference/board rooms on campus. Schedules events on the campus grounds. Provides back up support for the Office Administrator.

Essential Duties and Responsibilities

  • Answers three incoming telephone lines, refers calls to the appropriate program, agency or person, answers questions and/or takes messages as needed.

  • Monitors shared email boxes and escalates any janitorial, security or work order issues to the appropriate person or team member.

  • Greets tenants, vendors, and guests, provides information or inner campus administrative communications, and directs visitors to the appropriate person or agency/department within the County or on campus.

  • Creates ID Badges and Security Access Cards for employees of Resource Connection agencies, Tarrant County employees, and members of the aquatic center.

  • Coordinates and maintains scheduling of Resource Connection campus conference, classroom and meeting room use in Welcome Center & Conference Center. Coordinates set up with Facilities Management for Conference Center.

  • Provides preparation and follow-up for conferences and meetings. This includes providing quotes, preparing, and sending conference, classroom, and meeting room agreements, and documenting communication on shared conference, meeting, and event spaces.

  • Collects fees from the public and is part of the team that prepares the deposit for review and entry into the system by the Director.

  • Maintains the reception area, keeping it neat, ensures plants are watered and reports issues with vending machines that are not working properly.

  • Provides guidance for General Office Clerk III position and provides back up support for Director in the absence of the Office Administrator.

  • Provides Notary Service to tenants, guests, and the public.

  • Performs all other related duties as required.

Minimum Requirements

High School diploma or equivalent. Minimum of two (2) years progressive general office experience, preferably in a public agency setting dealing with the general public and business community and with diverse populations, especially individuals with disabilities, is desirable. Excellent communication, interpersonal and multi-tasking skills are necessary to interface with general public, tenant agencies, County employees, and the business community. Knowledge of personal computers and keyboarding skills including proficiency in word processing, spreadsheet, and database applications. Must be a notary or able to obtain a notary within six (6) months of hire. Must recognize the value of team dynamics, exhibit a professional demeanor, and possess problem solving and time management skills.

While performing the duties of this position, the incumbent is regularly required to sit, stand, walk, bend, stoop, climb, lift, push, pull and squat.
