    Job Description

    The Gift Records Specialist is responsible for completing and ensuring the timely and accurate processing of donations made to Syracuse University through various channels, including mail, electronic submission, data import, and phone. Primary responsibilities include data entry, research, validation, scanning, and accurately assigning gifts to constituent records while strictly adhering to recognition credit guidelines. This role requires maintaining data integrity within the University's Citrus CRM database in accordance with established policies and procedures. Additionally, the specialist will update and add donor biographical information as needed during the processing of gifts. The position also involves retrieving, processing, and batching gifts to Syracuse University Athletics in preparation for import and processing in Citrus. The role assesses donor instructions and data verification to recommend posting modifications or process payments against pledges as appropriate.

    Due to the nature of calendar year-end giving, this role requires occasional overtime work as well as additional hours between late December and early January and late June to early July (excluding legal holidays), during which the university may implement alternative work schedules.

    Education and Experience

    • Bachelor's degree preferred. Associate degree and/or a combination of education and two years relevant experience required.
    • Demonstrated experience working with relational databases and Excel required.
    • Experience processing donations/payments/receivables/payment systems preferred.

    Skills and Knowledge

    • Knowledge of development work preferred.
    • Very strong attention to detail and ability to prioritize workflow.
    • Ability to work well independently as well as within a team environment.
    • Strong interpersonal skills.
    • Familiarity with all Microsoft Office 365 products.

    Responsibilities

    • Fulfill daily responsibilities of data input, entry, research, confirmation, scanning and assigning gifts to individual donor records. Provide timely entry and processing of online gifts through online platforms/iModules, manual credit cards received by mail, checks/cash from mail or internal departments, and imports from student calling. This work includes assigning gifts to individual donor records with strict adherence to guidelines for recognition credit, as well as scanning of all supporting documents into OnBase for all donations processed on a given day. All entry is to be completed consistent with compliance of university and divisional policies, procedures and protocols.
    • Athletic Gift Processing: Fulfill daily responsibilities of data input, entry, research, confirmation, scanning and assigning gifts to individual donor records related to gifts to athletics. This includes managing downloaded athletic gift records from the ticketing system and preparing reports for import processing within the Citrus database. Follow up with Athletics regarding any questions of donations or refunds made consistent with downloads/reports received.
    • Provide services of check scanning for submission to the bank on a rotating basis to provide internal data integrity and separation of duties.
    • Make data entries and updates to constituent records that are needed related to a donor's address, phone, email or other data fields that are provided by a constituent with a donation. Attend all required training, including department/division-wide training, as required to learn and/or update skills related to system tools/upgrades, platforms, and Microsoft Office products.
