Mission Operations Coordinator

The Mission Operations Coordinator plays a vital role in advancing the ministry's God-given vision to reach one billion souls for Jesus. This position is responsible for organizing and executing mission trips, events, and projects—both locally and globally—while ensuring that all logistical, administrative, and spiritual components are thoughtfully integrated and executed with excellence. Working under the direction of the Missions Manager, the Coordinator provides essential support to the missions department and collaborates closely with church staff, volunteers, ministry leaders, and external partners. This role requires a heart for service and evangelism, a strong sense of spiritual leadership, and a commitment to ensuring that all missions-related activities reflect the ministry's core values and comply with both ministerial and governmental standards.

Essential Duties and Responsibilities
  • Coordinate all aspects of assigned mission trips—travel, lodging, purchases, and logistics.
  • Assemble complete travel packages for teams, including accommodations, transportation, and ministry access, ensuring team members are equipped and prepared to serve.
  • Confirm room assignments and transportation schedules to support smooth and focused ministry operations on the field.
  • Coordinate vehicle rentals and manage transportation for traveling individuals.
  • Ensure all travel and trip logistics are conducted in alignment with ministry values and governmental compliance, supporting the mission of reaching souls for Christ.
  • Serve as a primary point of contact for team members and ministry guests, offering Christlike hospitality and support throughout their journey.
  • Provide administrative and organizational support for local and international ministry initiatives, mission trips, and departmental projects, with a commitment to furthering the Gospel.
  • Build and manage Monday.com dashboards for team onboarding, project planning, and financial stewardship.
  • Track hotel and flight bookings, per diem disbursements, and trip logistics, ensuring clarity and efficiency.
  • Assist in preparing and monitoring departmental and trip budgets.
  • Maintain digital organization of mission materials, trip folders, vendor contacts, and team records (Google Drive, WhatsApp, Sheets).
  • Submit contracts through Gatekeeper and assist Finance with expense reports to maintain transparency and excellence in ministry operations.
  • Act as a liaison between the Missions Department and other internal departments, vendors, and partners to support unified ministry efforts.
  • Respond to emails and monitor team chats (e.g., WhatsApp) with discernment, clarity, and timeliness.
  • Schedule and manage Zoom and WhatsApp calls for mission teams, fostering communication and spiritual unity.
  • Send regular updates to volunteers and local points of contact, keeping the team informed and spiritually aligned.
  • Participate in interdepartmental meetings and trainings, contributing to a spirit of collaboration and unity in advancing the Kingdom.
  • Steward the onboarding process for volunteers, preparing them spiritually and practically for mission service.
  • Manage volunteer registration and event role assignments (e.g., prayer shifts, testimonies), aligning each role with the overall spiritual mission.
  • Serve as the main point of contact for event volunteers, offering support, encouragement, and guidance.
  • Review and update volunteer packages to ensure clarity and readiness, keeping the focus on servant-hearted ministry.
  • Assist in developing the annual strategic trip calendar, guided by prayer and in alignment with the ministry's prophetic vision.
  • Conduct research and compile reports to support effective, Spirit-led decision-making for mission planning.
  • Receive, review, and prayerfully evaluate invitations from churches and ministries around the world to discern opportunities for Kingdom partnership.
  • Stay informed on cultural and geopolitical developments, interceding and adapting plans as needed to protect and empower ministry efforts.
  • Create graphics and communication materials that inspire, inform, and mobilize the Body of Christ for missions.
  • Manage IT-related projects that support the communication and delivery of mission resources.
  • Provide updates on mission-related forms and calendars (e.g., AGM Discipleship).
  • Maintain ministry tools (SGN, Monday.com, etc.) with accuracy.
  • Must have a flexible schedule.
  • Domestic and international travel is required.
Education and Experience Requirements
  • Bachelor's Degree in business administration or related field
  • Minimum 4 years of experience in logistics management, missions, events or related fields.
  • Strong Organizational and Administrative Skills with the ability to manage multiple projects and meet tight deadlines.
  • Ability to work as part of a ministry-led team

  • Bilingual English / Spanish required
