The Global Mobility Alliance Coordinator provides essential administrative, operational, and governance support to the Global Mobility Alliance (GMA). Reporting to the Director & Board Secretary, this role supports the effective coordination of GMA programs, events, communications, and documentation. The coordinator ensures smooth execution of virtual and in-person engagements, assists with Board materials, and contributes to consistency, accuracy, and professionalism across GMA operations.
ESSENTIAL FUNCTIONS
Administrative & Governance Support
Assist the Director with preparation of Board agendas, meeting packets, and follow-up documentation.
Maintain governance documentation, track action items, and ensure alignment with GMA Bylaws and governance practices.
Help coordinate the GMA calendar, key deadlines, and digital records management.
Program & Event Coordination
Support planning and execution of CEO Roundtable, Summits, regional meetings, webinars, and working groups.
Assist with speaker coordination, technology setup, and onsite/virtual delivery.
Partner with the conference services team on the planning for each event.
Communications & Member Engagement
Draft operational communications and event updates.
Assist with newsletters, communications from the Chair, website updates, presentation slides, and digital content.
Maintain accurate and current contact lists for CEOs, executives, and primary contacts across all GMA regions.
Operational & Project Support
Support cross-club collaboration activities by scheduling meetings, taking notes, and tracking deliverables.
Document charters, scopes, and progress tracking for working groups and committees.
Assist with benchmarking, collaboration initiatives, and operational reporting.
Administrative Support to the Director
Provide high-quality scheduling, correspondence, and document preparation support.
Assist with research, information gathering, and preparation of strategic materials.
Maintain professionalism and discretion in interactions with CEOs, executives, and regional partners.
KNOWLEDGE / SKILLS / ABILITIES
EDUCATION & EXPERIENCE / COMPETENCIES / CERTIFICATIONS / LICENSES
Minimum Qualifications
High School diploma or GED
2 - 5 years of administrative, event coordination, governance, or program support experience.
Preferred Qualifications
Bachelor's degree
Experience supporting senior leaders or governance bodies is a strong asset.
