The Executive Assistant to the Head of Americas provides high-level administrative and operational support to executive leadership across the Americas region. This role is responsible for executive calendar and travel management, regional meeting coordination, executive communications, management reporting, visitor support, and the execution of key administrative and strategic priorities. The ideal candidate will have prior experience supporting C-suite executives within a mid-to-large organization and be highly organized, detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced executive environment. 2026 CA_AHQ_Senior Analyst_Exec Key Responsibilities - Manage the Head of Americas' calendar, executive schedule, meetings, and business travel.
- Coordinate domestic and international travel, including itineraries, flights, hotels, travel requests, and related logistics.
- Process travel and operational expense reimbursements and monitor executive travel/operating budgets.
- Serve as a primary administrative point of contact for executive matters.
- Develop and maintain annual, quarterly, and monthly executive meeting calendars.
- Coordinate executive and regional meetings, including agendas, invitations, attendees, logistics, materials, and action-item tracking.
- Prepare, consolidate, distribute, and maintain executive briefing packages, presentations, meeting records, and management documentation.
- Compile and maintain quarterly subsidiary status reports across the Americas.
- Support executive presentations, reporting, research, special projects, and ad hoc management requests.
- Conduct market, industry, and macroeconomic research in support of executive decision-making.
- Coordinate schedules and logistics for GHQ business travelers, including site visits and local arrangements.
- Support AHQ Legal Counsel by tracking corporate legal requests and contract matters, maintaining documentation and version control, and assisting with data summaries and internal audits.
