Job Summary:
The Member Services Lead is accountable for managing membership administration, daily check-in and check-out processes, and serving as a welcoming, professional point of contact for members, families, and visitors. This role ensures safety, compliance, and accurate data management while supporting a positive and organized Club environment.
Hours & Schedule - Part-time position, 35 hours per week
- Monday through Friday 1:00pm-8:00pm
Duties & Responsibilities: Membership Administration - Enter, update, and maintain accurate membership data in designated data systems.
- Process membership registrations, renewals, and fees in accordance with policies and procedures.
- Ensure required documentation and permissions are complete and properly stored.
- Support membership reporting needs in collaboration with Club Services leadership.
Check-in & Check-out Management
- Manage daily member check-in and check-out procedures accurately and efficiently.
- Safeguard member belongings during the check-in process.
- Ensure consistent application of sign-in, sign-out, and verification procedures.
- Communicate attendance or check-out concerns promptly to appropriate staff.
Visitor & Parent Relations
- Serve as the first point of contact for parents, caregivers, visitors, and partners entering the Club.
- Provide accurate information about Club programs, policies, and procedures.
- Maintain a friendly, respectful, and professional presence at the front desk.
- Escalate concerns or issues to leadership as appropriate.
- Answer and appropriately route telephone calls.
Safety & Compliance
- Ensure only authorized members, staff, and approved visitors access Club spaces.
- Enforce visitor sign-in, escort, and identification procedures consistently.
- Monitor compliance with safety policies related to suspended members, barred visitors, and access control.
- Report safety concerns, incidents, or policy violations promptly.
Reporting & Documentation
- Generate and support reports related to attendance, membership, and grant compliance.
- Ensure timely and accurate data entry to support organizational reporting needs.
- Maintain confidentiality and data privacy standards at all times.
Required Qualifications: - High school diploma or GED required.
- Must be at least 18 years old.
- Bilingual Preferred
- Minimum of one year of experience in an administrative or customer service role, preferably in a youth-serving environment
- Strong organizational skills with the ability to multitask.
- Proficiency in Microsoft Word and Excel, ability to learn data systems.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to meet the physical demands of the role, including lifting up to 20 lbs and extended periods of standing or sitting.
