Position Information

Title Graduate Assistant - University Events, Scheduling and Customer Relations Position Description

The Graduate Assistant (GA) will work 20 hours per week and receive up to 24 credits of tuition and student fee waivers: 9 for fall, 9 for spring and 6 for summer.

Overview

The Scheduling Area Graduate Assistant (GA) will assist the Room Reservationist with the processing and review of online reservation requests for BSU spaces through our Event Management System (EMS) software. The GA will work to ensure that requests are compatible with the space based on current institutional policies and procedures. They will also support the Room Reservationist in managing several reservation dashboards. When appropriate, the GA will follow up with sponsors by email and/or by phone to offer resolutions or seek clarification regarding the reservation request.

The GA also supports the Room Reservationist in overseeing and training five (or more) undergraduate Reservation Assistants (RA). Working as the intermediary between the RAs and the Room Reservationist, the GA will be expected to maintain statistical data, answer procedural questions, and review work with the RAs, with other duties as assigned. The GA should be able to pick up processes quickly and accurately to become a reliable resource for the RAs. The GA will be cognizant of and share our office's mission and passion for developing our undergraduate student workers through on-the-job training to prepare them for future professional success. As a paraprofessional role, the GA would be entrusted to make necessary decisions regarding a reservation.

Interested Graduate students must have a positive and professional attitude and a willingness to learn. They should also have excellent computer and customer service skills. A major component of this position is communication with your coworkers in person, and with event sponsors and other BSU departments, either by email or on the phone. Through this position, it is hoped that the Graduate Assistant's professional communication skills will continue to grow and be refined.

Responsibilities

Duties of the Reservations Graduate Assistant (GA) include:

  • Supporting the Reservationist with the management of several EMS dashboards by reviewing reservations for completeness and accuracy, as well as changing the status of various reservations as needed
  • Providing clarification, redirection, or support as needed to RAs or other members of UE staff for questions on policy or procedure
  • Monitoring and maintaining the department's statistical data
  • Making appropriate adjustments in the ongoing training of RAs
  • Scheduling 1:1 mini-trainings with RAs as needed based on statistical data to triage various reoccurring errors
  • Completing and presenting a project for the Student Arts & Research Symposium (StARS) in April
  • Running reports as necessary
  • Optional: Participating in the GPSA Connects Program

Preferred Qualifications

Previous customer service and/or office experience, in addition to familiarity with the campus, is preferred, but not required.
