Academic Year Duties and Responsibilities:

  • Oversees GradPath activities.
  • Schedules meetings and required examinations as needed.
  • Works with graduate faculty advisors to track graduate student progress and coursework.
  • Provides support to students with course planning and enrollment transactions, as needed.
  • Collects graduate students annual reports and career conversations.
  • Helps promote professional development activities offered through the university.
  • Participates in the process of assigning assistantships, waivers, and scholarships with the Director of Graduate Studies (DGS), Academic Unit Head (AUH), and Business Office.
  • Liaises with the Graduate College.

Year-Round Duties and Responsibilities:

  • Facilitates student success by referring students to appropriate support services and communicating with DGS and graduate faculty.
  • Attends graduate program committee meetings.
  • Works with DGS and AUH to review and update the Graduate Handbook and other program resources (e.g., Graduate Student D2L, website).
  • Attends meetings and trainings in CALES or the Graduate College when appropriate.
  • Assist with graduate program assessment.
  • Provides catalog maintenance and/or room and course scheduling as needed.

Graduate Recruitment:

  • Contributes to the generation of marketing materials and email campaigns for the graduate program.
  • In collaboration with the Director of Graduate Studies and Academic Unit Head, promotes the assigned graduate programs at recruitment events on campus.
  • Helps direct and, when applicable, respond to recruitment related inquiries from graduate students.
  • Helps plan in person prospective student visits (e.g., travel arrangements, meetings, and social activities).

Graduate Application Process:

  • Helps direct and, when applicable, respond to application related inquiries from graduate students.
  • Manages GradApp according to program needs.
  • Coordinates application status and sending of acceptance/offer letters.

Graduate Student Onboarding:

  • Leads or co-leads the new graduate student orientation.
  • Introduces students to the graduate program (i.e., handbook, procedures, GradApp, etc) and college and university level resources.
  • Reminds research and teaching assistants to complete all required training.

Knowledge, Skills, and Abilities (KSAs):

  • Knowledge of University of Arizona systems including UAccess and GradPath, or similar systems.
  • Strong written and oral communication skills.
  • Ability to work within a team and communicate with that team.
  • Strong time management and planning skills.
  • Demonstrated effectiveness in organizing training and social events.
