As the 4th largest public college of education in the country and the 3rd largest college at UGA, the Mary Frances Early College of Education (MFE COE) improves the lives of residents of Georgia and beyond through our instruction, research, and service. The MFE COE is a comprehensive college with disciplines focused on teacher preparation, counseling and human development, communication sciences, human movement sciences, career development, student affairs, and educational administration and policy. We place significant emphasis on graduate education with approximately 40% of our students at the graduate level, making us the second largest college at UGA with respect to graduate education.

Preferred Qualifications Position Summary

This incumbent serves as the Graduate Program Administrator for the Department of Workforce Education and Instructional Technology. The employee will assist the Director of Graduate Studies in implementing all services related to academic and student planning, support, monitoring, and development. Responsibilities will include graduate program administration, student services, and general departmental support. It involves a thorough knowledge of departmental, college, and UGA policies, university software platforms, and data systems. The incumbent will deal with complex issues and questions from students and faculty while maintaining and following university guidelines and procedures.

Graduate Program Administration:

  • Manage the department email account and respond to all inquiries about Workforce Education and Learning, Design, and Technology programs.
  • Provide support for all WFED and LDT programs by working with program leadership.
  • Serve as liaison between Workforce Education and Instructional Technology, Mary Frances Early College Of Education, and UGA Graduate School.
  • Work in the graduate program application systems such as Banner, Athena, GradStatus, Argos, Slate, and DegreeWorks.
  • Ensure the department stays compliant with University policies and procedures.
  • Assist the Director of Graduate Studies and Program Coordinators as requested and appropriate.
  • Attend meetings appropriate to the position including monthly MFE COE meetings and Graduate School meetings/luncheons.
  • Prepare various reports as requested.
  • Collaborate with Business Manager for graduate assistantships, assignments, and Graduate School student travel requests.
  • Fulfill data requests by various campus partners including the College of Education Dean's Office.
  • Facilitate the Department's Outcomes Assessment and Program Review data reporting requirements.
  • With guidance from the Director of Graduate Studies and Department Head, implement changes in departmental admission procedures and policies to meet program goals.
  • Disseminate college-specific information to prospective students, current students, faculty, or staff.

Percentage of time 45 Duties/Responsibilities

Student Services:

  • Submit program recommendations for prospective students.
  • Send welcome letters to all new WEIT students, indicating advisor (copied to advisor).
  • Create and disseminate student admissions status reports to department faculty.
  • Assist enrolled students with notifications and degree requirements.
  • Monitor student progress toward degree completion and staying on track.
  • Manage all paperwork/requirements for the thesis and dissertation defense for graduation, program of study forms, and all other applicable forms.
  • Compose various letter and email responses ranging from verifying enrollment, employment, applicant denial, exception request, and any type of justification need for students.
  • Maintain records for all new student applicants and enrolled students along with maintaining the college student database.
  • Use Athena, Banner, Argos, Slate, GradStatus and DegreeWorks and related UGA student systems to provide support as needed.
  • Communicate important University and Graduate School deadlines (drop/add, registration, withdraw, graduation, etc.), and job opportunities sent from outside agencies.

General Departmental Support:

  • Cross-train and serve as backup to Administrative Specialist.
  • Perform tasks and assignments as instructed by the office manager or departmental leadership.
  • As a member of the staff in the department, this position supports the faculty. This position either provides the requested customer service or refers it to the appropriate staff member to respond. In cases where a service is requested that falls outside of the normal duties, this position will either provide the service or consult with the graduate coordinator as to possible alternative resources.
  • Attend and participate in weekly departmental staff meetings.
  • Complete a minimum of 20 hours of professional development per calendar year.
  • Contribute to a culture of teamwork, respect, and belonging that supports the success of students, faculty, and staff.
