JOB SUMMARY
The Graduate Student Academic Advisor and Certification Specialist provides critical support for a variety of different programs: Boot Camp, Master of Arts in Administration of Special Education (MAAASE), Master of Arts in Educational Leadership (MAEL), Master of Arts in Teaching (MAT), Master of Organizational Leadership (MOL) and Master of Science in Instructional Design Technology (MSIDT). Job responsibilities include extensive communication with prospective students, program directors, the Oklahoma State Department of Education (OSDE), as well as other offices on campus.
RESPONSIBILITIES
Essential Functions:
Provide academic advising for prospective and current Graduate Studies students in assigned programs from program acceptance through graduation
Develop a degree plan that includes core courses required for the degree and a plan for meeting any additional hours needed to graduate.
Monitor academic progress and work proactively to promote learner success
Programs currently include Boot Camp, MAASE, MAEL, MAT, MOL, and MSIDT
Serve as the Certification Specialist for MAASE, MAEL and Alt Cert learners:
Communicate with the OSDE for Boot Camp, MAASE and Alt Cert.
Collect information for course completion, verification, certification related letters for BootCamp, MAASE and Alt Cert.
Maintain spreadsheet tracking academic progress, certification, adds/drops and program changes.
Administrative Duties:
Create and submit group calendars to appropriate offices as needed
Manage applicants' Recruit accounts to accept and enroll them as a student
Use CRM to track applications and maintain communication with potential and accepted students
Process add/drop/Extraordinary Circumstance forms as necessary
Assist with the organization of and communication related to MAASE, MAEL, MAT, MOL, and MSIDT events, including orientation, workshops, and Commencement
Prepare monthly conferment list for registrars office
Provide budget management assistance for Boot Camp, MAASE, MAEL and MAT
Manage and report textbook changes for each Boot Camp and cohort
Serve as the primary contact for KDP and organize membership activities
Process CCOSA student memberships
Identify and resolve student issues through collaborative problem solving
Assist with program advisory boards
Recruiting efforts:
Attend Conferences (register, set up & tear down, shop for supplies, etc.)
Maintain communication with school district personnel for networking, awareness, event participation, and student recruitment
Recruit BAE and Alt Cert students to program pipeline
Boot Camp:
Collect information for and send out Boot Camp related letters for OSDE
Coordinate with PGS Marketing to promote Bootcamps
Provide instructor recommendations
Coordinate textbook/resource acquisition for learners
Attend and assist with set up for the first and last Bootcamp sessions
Assist Adjunct instructors with setting up SNU's EdPlan
Other responsibilities:
Additional duties as assigned by leadership
