About the Work Unit
The Office of Operations & Administration (OOA) unit exists to efficiently manage the overall administration of the Division and to ensure consistent coordination of all similar functions between the program offices within the Division and Department. To achieve this goal, the office:
a. Develops and implements policies and procedures common to the program offices;
b. Coordinates training and education of managers throughout the Division;
c. Manages finances and administration of multiple federal and state grant programs;
d. Manages personnel, budget activities, and purchasing for the Division;
e. Coordinates with the Department, Office of Information Technologies, State Controller, and other state agencies on administrative matters and office functioning.
The office consists of both Division of Criminal Justice (DCJ) and Executive Directors Office (EDO) personnel
About the Job
The scope of work for this position is to provide support in archiving grant data from the legacy Grants Management System (GMS), testing the new GMS before each new step/new program launches, and creating testing guidelines and instructional job aids for staff and external partners. This work includes:
Compile and sort information according to priorities
Troubleshoot customer requests
Apply data program techniques and procedures
Generate reports, store completed work in designated locations and perform backup operations
Keep information confidential
Comply with data integrity and security policies
Ensure proper use of office equipment and address any malfunctions
Exporting and saving information from existing systems to a Google folder
Work Environment
This is a temporary position not to exceed 9 months
Position is scheduled 40 hours/week
Hybrid, a minimum two days per week in the Lakewood office
Work unit core business hours, Monday - Friday, 8:00 a.m. - 5:00 p.m. with some flexibility available

Note, to be considered for this position, you must meet one of the following options for consideration.
Proven Experience, Knowledge, Skills
Four (4) years of relevant experience in database administration including configuration, testing, troubleshooting and end user training and support
Appropriate education will substitute for the required experience on a year-for-year basis. If substituting education for experience, official or unofficial transcripts must be attached at the time of application.
Preferred Qualifications and Competencies
Experience managing multiple projects simultaneously
Customer Service/Stakeholder engagement experience
Excellent written and verbal communication skills
A technical education or relevant experience in software support, training, or remote helpdesk technical support
Discretion and good judgment
Knowledge and experience with grants management
Ability to manage and track deadlines
Experience in FLUXX Grants Management System (GMS) a plus. (or any Database CRM experience)
Coding ability a plus
